A Project Admin Coordinator uses their accomplished communication skills to liaise with clients, property managers and adjusters. They are responsible for ensuring all required reports/documents/updates from the Project Management Team are delivered accurately and in a timely manner, and that KPI’s are maintained.

Education and Experience

A Project Admin Coordinator uses their accomplished communication skills to liaise with clients, property managers and adjusters. They are responsible for ensuring all required reports/documents/updates from the Project Management Team are delivered accurately and in a timely manner, and that KPI’s are maintained.
Duties And Responsibilities
- Time off relief for other team members
- Prepare final draft restoration invoices for approval by PM.
- Maintain/liaise communications with PM Team and clients.
- Communicate with Accounting on deductible invoicing and adjustments.
- Maintain administrative workflow status dates & notes in PSA and XactAnalysis
- Send file documents to clients in a timely manner.
- Post and finalize approved invoice from PM team and issue to client.
- Assist with monthly financial reporting requirements.
- Liaise with Estimators on Xactimate assignments regarding cost input.
- Filing and file archiving
- Enter and upload required file documents into PSA and XactAnalysis
- Ensure that self and others on site are wearing all required PPE, when required.
- Ensure good housekeeping is kept to perform work safely and efficiently
- Ensure that self and others adhere to Canstar’s health and safety practices and procedures.
- Understand safety policies and protocols.
Education and Experience
- 40+ words per minute accurately
- 1+ years of experience working with strata claims and property management groups is considered beneficial.
- Ability to multitask and prioritize.
- 2+ years of experience in an administrative or assistant role
- Ability to communicate effectively in English both verbally and in writing.
- Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) and the ability to type.
- Strong administrative and clerical skills

- Enjoyment of a fast-paced environment that’s always changing
- Strong administrative and organizational skills with ability to adjust and respond professionally to changing priorities and ad-hoc issues.
- A positive demeanour and team player, who is willing to go the extra mile.

- Must be flexible to work overtime, evenings, and weekends on occasion.
- Travel to other Canstar branches may be required periodically
