Job Summary


This position actively participates in the planning, development and continuous improvement of work processes of the postgraduate and undergraduate education programs within Office of Education in the Department of Medicine’s Administration Office. The Education Coordinator is responsible for planning and coordinating the delivery of activities within the postgraduate and undergraduate education programs. This position is expected to manage and oversee a variety of ongoing, annual and ad hoc activities and is responsible for and has the autonomy to make decisions on the activities this position leads.


Organizational Status


This position reports to the Senior Education Manager and receives work direction from the Internal Medicine Postgraduate Education Manager and Program Directors from both postgraduate medical education and undergraduate medical education.


Work Performed


Competency Based Medical Education:


Resident Development: Responsible for designing content and materials to support the delivery of information defining the role of senior residents and features/expectations of the competence-based training and assessment medical education model. Summarizes content for incoming cohorts explaining the key features and expectations at Resident Bootcamp for the Internal Medicine Residency Training Program. Delivers the orientation and invigilation of the Postgraduate ACP In-Training exam.


Programmatic Assessment: Continues to develop and deliver a mobile-based approach to record and track EPA observations. Works with the Program Director and Postgraduate Education Manager to create revised ITERs to decrease the effort required to now maintain two assessment streams. Reviews, documents and distributes EPA definitions and helps the Program Director determine the required minimum number of observations required prior to the committee deciding a resident is competent.


Governance: Responsible for all aspects of recruitment for the Competency Committee as well as creating and communicating meeting schedules to meet resident review standards of 2 times per year per resident. Contacts recommended Academic Coaches to establish the pairing of Faculty with 1-3 residents. Responsible for assisting with the definition of the roles for both Competence Committee members and Academic Coaches


Analytics: Creates analytical reviews as questions/issues arise during the competence committee reviews to help inform criteria for decisions and options to improve EPA compliance or consequences of non-compliance.


Continued Rollout of CBD: Continue to work with the Program Directors to ensure the program is aligned with evolving Royal College requirements in order to meet accreditation standards. Maintains and updates the Competence by Design (CBD) page on the program’s website with latest policies and guidelines. Assists the Program Directors with the details on the Transition to Practice stage including the need for collaboration with sub-specialties. Focuses on the continuous improvement initiatives and training to support implementation.


Finance:


Resident Reimbursements: Responsible for reviewing, approving, processing, and distributing all resident reimbursements. Ensures all expense reports are within UBC and Faculty of Medicine, PGME Office, and Ministry of Health (MOH) guidelines.


Finance Coordination: Responsible for reviewing and deciding on funding requests across the Internal Medicine Residency Program and Undergraduate Medical Education Program, ensuring adherence to relevant UBC, Faculty of Medicine, PGME Office, and Ministry of Health guidelines. Processes Vancouver Core Program invoices, purchase orders and approved expense reports. Reconciles relevant accounts and updates the Postgraduate Education Program Manager. Resolves issues and disseminates information related to policy changes to residents and Program Directors.


Teaching Payments:


Departmental PGME Teaching Payments: Manages the teaching payment process for all 17 residency programs within the Department of Medicine. Sets timelines and advises program staff within the divisions in the Department of Medicine on payment eligibility guidelines. Resolves outstanding issues that may be stopping payment. Determines the overall department rate for yearly standing committees. Obtains proper approval and creates corresponding EIB file documentation required for payment processing.


Other:


Other Responsibilities: Provides support to the ambulatory programs including providing leave coverage. Acts as the Department of Medicine’s representative for new educational initiatives (i.e. IRP Students) as needed. Disseminates relevant communications department wide. Explains the impact of new educational initiatives to divisions and their operations. Performs other duties as required.


Consequence of Error/Judgement


This position must exercise good judgement and initiative to handle matters based on the knowledge of the UBC, Faculty, MOH, Departmental and Royal College policies and procedures ensuring accreditation standards are met. Errors in decisions could jeopardize the Program's accreditation and financial viability.


Supervision Received


While this position reports to the Senior Education Manager and receives work direction from the Postgraduate Education Program Manager and Program Directors, work is done primarily independently. The position will consult on new or complex problems as needed.


Supervision Given


Formally trains staff, faculty and residents on new software and work processes/procedures. Shares expertise with Department of Medicine staff and faculty as requested.


Minimum Qualifications


University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Ability to provide quality service to customers in a courteous, patient manner. Ability to analyze problems, identify key information and issues, and effectively resolve. Ability to deal with a diversity of people in a calm, courteous, and effective manner. Ability to exercise tact and discretion. Ability to quickly learn and adapt to evolving information platforms including Workday and Entrada. Strong organizational, analytical, and interpersonal skills. Ability to work a flexible schedule including early morning meetings and evening and weekend meetings/provincial travel as required. Ability to work effectively independently and in a team environment. Performs other related duties and participates in projects as required.
