Detailed Overview


Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families:


Provides organization support for assigned programs within Professional Practice such as new employee (clinical) orientation, education technology strategy, clinical policy office, patient education, and other clinical care priorities, practice transition and mentorship. Liaises with internal and external stakeholders such as academic institutions, regulatory colleges, clinical and informatics teams, and functions as the central point of contact for the coordination of designated programs/projects. Reviews and catalogues professional practice tools/resources/materials/records, coordinates program activities and workflow, develops and implements work methods and procedures that support the objectives of the assigned programs/projects, maintains electronic files/summaries/reports, and recommends process and system improvements.


Responsibilities


  • Establishes and maintains professional practice databases. Promotes the use of related databases at Fraser Health and may provide guidance and training to users.
  • Functions as the central point of contact for assigned programs. Receives and responds to related queries, prepares and distributes communications, liaises with internal and external stakeholders for communications around programs, including clarifying information and resolving issues and/or, escalating queries to the Leader and/or Director as appropriate. Maintains current lists for key contacts, program service providers, and facilitators.
  • Coordinates and assists in the evaluation of assigned programs/projects; reviews requests for professional practice services (e.g. clinical tools, resources, patient education materials), coordinates program evaluation and attendance records, collates survey or feedback results, conducts preliminary analysis and generates summaries, statistical and other related reports using applicable databases and web-based applications (e.g. Real Time Patient Experience Survey, clinical orientation, education technology, clinical tools/resources/patient education databases, and learning hub).
  • Organizes and coordinates the activities and workflow within the assigned programs/projects, develops and implements work methods and procedures that support the objectives of the programs/projects, determines priorities, resolves day-to-day problems and evaluates operating procedures/processes. Develops and recommends process and system improvements and implements approved changes.
  • Provides support including coordinating/scheduling meetings, preparing meeting agendas, materials, and minutes, coordinating sessions/workshops/events, drafting/developing/sending correspondence and communications, collecting/summarizing resource materials, maintaining electronic files, and preparing/editing/maintaining documents, web pages and SharePoint site files.
  • Coordinates and provides organization support for assigned programs and program-related activities within Professional Practice.
  • Catalogues written and electronic records. Coordinates and maintains processes for receiving, reviewing, processing, tracking, filing, cataloguing, and retrieving professional practice materials, resources and records.
  • Maintains budget data including analyzing, reconciling, recommending changes, projecting requirements, and preparing funding transfers and budget submissions. Identifies and provides input into equipment/resource needs.


Qualifications


Education and Experience


Graduation from a diploma program in administration, project management, adult education, or related field and five (5) years recent, related experience in an education, business or health care environment, or an equivalent combination of education and experience.

  • Strong proficiency with and ability to develop systems using a variety of computer software including database applications, internet-based applications and MS Office at an intermediate to advanced level.
  • Strong attention to detail.


Salary range


The salary range for this position is CAD $26.64 - $34.97 / hour
