Clinical Coordinator: A role that is vital in ensuring the smooth and efficient delivery of patient care.

Full-time, Contract


Contract Duration: 7 months

The White Rock-South Surrey (WRSS) Division is a local innovator in health care and part of a province-wide initiative designed to support family physician leadership, make connections, and inspire health care change in our local community. The Division is a non-profit Society led by a local Board of Directors.

We are implementing a Primary Care Network (PCN) in our community in partnership with Fraser Health Authority (FH) and other community organizations. This program is guided by a Ministry of Health approved Service Plan, which includes expanded team-based care and the addition of new health care providers and services to support patients and local physicians.


We support initiatives designed to strengthen the Patient Medical Home (PMH), which is a family practice that operates at an optimum level, providing continuous patient care. PMHs are also the foundation of care delivery, within Primary Care Networks (PCNs), and the cornerstone of an integrated system of primary and community care.


About the Role:


We have many initiatives at the Division that support our strategic goals and objectives. We are looking for a passionate and talented person to join our team. Under the general supervision of the PCN Managers (WRSS and FH) and reporting to the WRSS Executive Director, this position provides administrative day-to-day support to PCN clinicians in an interdisciplinary, outreach or clinic setting. Responsible for managing clinician schedules, providing administrative support, coordinating patient care, and facilitating effective communication, the Clinical Coordinator plays a critical role in supporting the smooth functioning of the PCN Program within multidisciplinary teams. This position requires strong organizational, communication, and technological skills, along with a commitment to maintaining regulatory compliance and delivering high-quality patient care.


The Clinical Coordinator will be responsible for:


  • Performing other related duties as assigned.
  • Compliance and Regulatory Adherence: Staying updated on healthcare regulations, privacy laws (e.g.,PIPEDA), and organizational policies. Ensuring adherence to these guidelines when handling patient information, scheduling appointments, and managing administrative processes.
  • Communication and Liaison: Serving as a point of contact between clinicians, Division and FH Staff, Physician Offices, allied health care professionals and community partners, ensuring timely dissemination of information.
  • Documentation and Reporting: Assisting in maintaining accurate and up-to-date patient records, medical charts, and databases. Generating reports, tracking data, and compiling relevant information.
  • Data Management: Collect, collate and manage data collection for program progress and evaluation.
  • Utilizing software systems, EMRs, scheduling tools, and other technologies to facilitate administrative processes. Troubleshooting issues, coordinating system upgrades, and providing training on relevant software applications.
  • Administrative Support: Providing administrative assistance to clinicians, including managing their correspondence, answering phone calls, responding to inquiries, and maintaining their calendars. Assisting with documentation, record-keeping, and data entry tasks.
  • Scheduling and Coordination: Managing the schedules of clinicians, including but not limited to coordinating appointments, patient visits meetings, and conferences to ensure optimal utilization of clinician time.
  • Patient Coordination: Collaborating with patients and their families to schedule appointments, coordinate referrals to specialists, and arrange for necessary tests or procedures. Ensuring smooth patient flow and minimizing of waiting times by efficiently managing clinician schedules.

  • Experience with EMR, iPHIS and other healthcare-related software is an advantage
  • Demonstrated capacity to identify and resolve administrative challenges and effectively handle unexpected situations
  • Experience in providing excellent customer service to patients and clinicians, with a compassionate and patient-centered approach
  • The willingness to adapt to changing priorities, manage competing demands, and work flexible hours when needed is essential
  • Excellent verbal and written communication skills

  • Ability to handle inquiries, complaints, and difficult situations with professionalism and empathy
  • Completion of recognized post-secondary administrative training plus one to three years of related office and administrative experience in healthcare, quality improvement, or client relations or an equivalent combination, training and experience
  • Demonstrated attention to detail and the ability to maintain accuracy while working in a fast-paced environment
  • Proficiency in using computer software, including word processing, spreadsheet applications, email, and scheduling systems
  • Ability to establish positive working relationships and contribute to a harmonious and cooperative work atmosphere
  • Strong interpersonal skills, active listening, and ability to communicate clearly and empathetically
  • The ability to work well within a team environment
