Job Description
Position Summary


Commissionaires Victoria, the Islands and Yukon Division is Vancouver Island’s largest security services company, with approximately 800 employees. This role reports to the Recruitment Officer and is responsible for assisting in the recruiting, onboarding, and administration of newly hired and rehired Commissionaires. This role will utilize our Applicant Tracking System (JazzHR) to screen candidates, schedule interviews and enrolments, and ensure proper administration of new hire documents. This role will also learn the internal HR processes to effectively back up members of the team for vacation coverage. Strong organizational and time management skills are a must for this position.


Position Title: Recruiting and Onboarding Coordinator


Department: Human Resources


Location: Commissionaires Victoria - Divisional Office - Victoria, BC


Reports To: Recruiting Officer


Hours: Monday to Friday 0800 to 1600 - excluding stats


(May be required to work outside these hours to meet operational needs)


Job Duties And Responsibilities


  • Solve any queries new Commissionaires might have about the company
  • Create and post jobs within Applicant Tracking System (JazzHR)
  • Prepare and send new hire documents through JazzHR
  • Screen potential candidates and schedule interviews
  • Ensure the effectiveness and integrity of the recruiting system and its outcomes by monitoring and evaluation the program and implementing modifications as needed
  • Manage retention rates by setting clear expectations and hiring under tailored parameters
  • Maintain proper administration of candidates in the pipeline, including keeping track of pre entry training.
  • Ensure the successful onboarding of new employees, with a focus on creating a positive experience
  • Conduct in-person or video interviews for candidates who have been shortlisted
  • Initiate the onboarding process; assigning employee number; creating and maintaining electronic personnel file; entering new hire information into HRMS and Tracktik; and liaising with other departments for accurate completion of onboarding.
  • Conduct reference checks for final candidates
  • Ensure processes are documented and workflows captured
  • Maintain HR Jazz reporting for recruiting statistics on the HR dashboard
  • Work with the Recruiting Officer to prepare for Job Fairs
  • Other duties as assigned by the Director of Human Resources.
  • Assist Recruiting Officer with creating interview questions and participate in selection panel interviews when appropriate.


Essential And Rated Qualifications For The Position


  • Post-secondary degree/diploma in Human Resources or related field considered a strong asset
  • Must be able to work in a fast-paced environment
  • Ability to reconcile different reports to each other
  • Ability and desire to embrace and manage change
  • Strong organization and time management skills
  • Excellent written and oral communication
  • Good knowledge and proficiency in using computers, in particular Word, Excel and database applications
  • Discrete and independent thinking in dealing with human resource matters
  • Strong people skills and ability to deal with applicants with patience and tact
