Job Description
We’re looking for a service oriented and organized Global Facilities Coordinator to join Hootsuite’s Global Facilities team in Vancouver. Reporting to our Office Manager, NA & APAC, in this role, you will support office operations with logistics, special events and other facilities related requests from our peeps across North America and Australia.
WHAT YOU’LL DO:
  • Monitor comments/questions and address issues in NA and APAC office Slack channels.
  • Managing/troubleshooting the online desk/room booking system;
  • Resolve facilities related tickets for NA and APAC in a timely manner and support EMEA offices if required.
  • Help support office operations including:
  • Coordinating shipping & receiving and security logistics.
  • Perform other related duties as assigned
  • Assist with Health & Wellness programs, occupational health and safety support tasks, and environmental reporting initiatives.
  • Collaborate with the Global Facilities Team to seek continuous improvements, develop maintenance plans, and schedule repairs as needed to support our operations.
  • Liaise with vendors, suppliers and contractors to ensure Hootsuite is receiving expected service and quality levels.
  • Collaborate with other teams to coordinate special events, support onboarding and offboarding of employees and facilitate access to other Hootsuite locations.
  • Addressing employee concerns with booking system, office issues, access cards, etc.
WHAT YOU’LL NEED:
  • Time management/multi-tasking: Ability to work effectively under pressure in a fast-paced, growing environment
  • Relevant experience of administration support and/or facilities management-related experience
  • Collaboration and Teamwork: Ability to work independently and collaboratively with others in a service oriented environment
  • Open Communication: clearly conveys thoughts, both written and verbally, listening attentively and asking questions for clarification and understanding
  • Passion for Customer Service: dedicated to providing exceptional customer service to internal clients
  • Detail Oriented: skilled at managing details from the large to the small
  • Tech Savvy: Experience working with Google Suite products and Zen Desk would be beneficial, but not required
