Fortinet is seeking a Facilities Coordinator to join our Facilities Team and support our expanding Burnaby office. As a key member of the team, your focus will be on maintaining the Burnaby office, space planning and providing exceptional service to our employee base. This person will be main point of contact for facilities day to day items and will assist the facilities manager with ongoing projects. This requires organization, creativity, adaptability and attention to detail. The right candidate will help us find new ways to improve our facility for both staff and visitors.
This is a full-time 40 hour job Mon-Friday regular office hours – will start as a contract for long term and plan to convert to permanent employee in the future pending performance and approval for budget. You will receive $1000 every 3 months in lieu of the benefits package while you are contracted to Fortinet.
Location: This role will be located in either or Burnaby, BC or Vancouver, BC office
Responsibilities:
- Special Event & Fitness Program setup.
- Assists with maintaining building security and immediately responds to building emergencies on a 24-hour basis
- Solicits bids and quotes from vendors as needed
- Coordinate space allocation among departments. Coordinate moves/adds/changes
- Manage break areas and maintain stock levels for all kitchens
- Back-up office manager when on vacation
- Keep conference rooms clean, clear of debris and food, clean whiteboards/glass, manage cables and keep them neat and organized. Provide administrative support to Facility Manager and facility group.
- Furniture installation \ reconfiguration as needed
- Complete employee requests from the facilities work order system.
- Manage facilities data base for space planning & requests
- Performs immediate cleaning duties when required
- Maintain Preventative Maintenance schedules for equipment and other systems in building
- Walk the facility weekly to check for items needing immediate attention.
- Maintains vendor contact list.
- Maintain and continue operation of mechanical systems like HVAC systems, fans, generators, electrical switch gear and UPS systems etc.
- Assist with vendor evaluation and selection.
- Assist Facilities Manager with a variety of projects
- Manage common areas of the building – keeping tables/chairs/hallways in order and clear of debris.
Desired Skills:
- Ability to plan and manage work under time constraints
- Self-starter and team player
- Proficient in MS Office Suite
- Experience using AutoCAD is an asset
- Ability to use standard powered and non-powered tools
- Ability to maintain professionalism at all times under stressful situations
- Superior customer service skills and orientation
- Ability to multitask and work without direct supervision
