Job Description
Support Staff Full-time New Position
(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)
Reporting to the Manager, Global Initiatives and Partnership Development, the Global Initiatives, Coordinator (GIC) supports Conestoga’s internationalization efforts and inbound and outbound global initiatives. The GIC provides a wide range of support services & advocacy to students for global initiatives and programs as well as for faculty and staff who engage in college-approved global initiatives outside the province of Ontario or in remote areas of the province, as well as virtually. This can include, but is not limited to, semester exchange study abroad (both incoming and outgoing exchange students), faculty-led trips (incoming and outgoing), COIL initiatives, academic summer programs, and other global collaborations.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with 1 day on-site, and 4 days remote.
Responsibilities
Marketing & Outreach
  • Plan and organize workshops, social/cultural events, and activities, including room bookings, catering, transportation, and promotion to students
  • Develop and lead promotion and outreach activities, including but not limited to information sessions, classroom presentations (virtual and in-person), and fairs to raise awareness of global mobility programs and increase student engagement and participation
  • Develop and facilitate promotional communication, information sessions, and faculty engagement to recruit students for global learning opportunities
  • Work with web-services team, registrar, and marketing teams to send appropriate and timely communication on global initiatives to target audiences across the college
  • Review global mobility websites for accuracy and clarity of information and develops relevant content in support of inbound and outbound student mobility programs
  • Analyze quantitative and qualitative data on student mobility, programming, and international partnership development to present to the Manager and academic faculties
  • Innovate and implement data reports to tell the story of the Global Initiatives and academic partnerships team widely on campus and beyond
  • Work with Central Marketing and International Marketing team for production, promotion, and reporting of global initiatives information and data
  • Monitor and evaluate education abroad support services for relevance, timelines, and effectiveness to maximize engagement and student success in mobility opportunities
  • Develop, coordinate and advance efficient processes for student recruitment/promotion, application, placement, communication, and student experience management related to all global initiative programs, working closely with Conestoga academic faculties and Registrar’s Office
  • Event planning and coordination for delegation visits, incoming global guests, and incoming exchange students (groups or individuals), including collaboration with Conestoga Student Engagement and Co-curricular events
Student Support
  • Support students in developing, identifying, and articulating essential employability skills
  • Meet with students interested in global study/work abroad opportunities to individually assess appropriate program placement and make warm referrals to academic faculties/units regarding academic, personal, professional, and financial goals
  • Facilitates pre-departure, while abroad, and re-entry workshops for students to ensure travel safety and risk management
  • Assist eligible students with Conestoga’s global initiatives grant application and funding process; Ensure timely administration of grants with the Financial Aid team
  • Mentor and provide training for the team of student staff and volunteers who serve as global learning ambassadors to the Conestoga community and support events and programming for current and future student travellers
  • Supports and assists incoming exchange students with application, arrival, and any pertinent matters during their stay, including academic, extra-curricular, and other issues related to their exchange experience
  • Provide ongoing support to students with their transition to their chosen global learning opportunity through maintaining various touchpoints, including one-on-one advising where needed and building confidence/engagement leading ultimately to student success
  • Organize and coordinate the student application and selection process and communicate with students on all aspects of their mobility program
Administrative support & Risk Management
  • Articulate and oversee Conestoga’s travel policies and processes to Conestoga faculties, staff, Registrar’s Office, Financial Aid, and Residence in a clear and concise way
  • Represent Conestoga and the GLE at fairs, information sessions, committees, conferences, partnership visits, etc.
  • Review finalized Learning Agreements and manager completion, sign-off, sharing, storage, etc.
  • Coordinate external funding programs, including contributing to funding agreements and preparing detailed technical and financial reports to the respective government agencies
  • Facilitate group travel planning and logistics including, ground transportation, flights, accommodations, extracurricular activities, visa administration, etc.
  • Lead the coordination of logistics for campus visits from global academic partner institutions
  • Collaborate in post-incident reporting, evaluate the effectiveness of emergency response protocols and provide recommendations for improvement to the Manager
  • Support the development, implementation, refinement, and monitoring of exemplary education abroad policies and procedures for global mobility programs
  • Research, report, and advise on travel risk best practices and conduct ongoing risk assessments for global mobility program destinations
  • Maintain student information databases, including collecting confidential and legal documents, including signed waivers, health insurance, emergency, contact information, etc.
  • Work closely with the financial aid office to ensure eligible students follow procedures in place for funding applications and distribution
  • Monitor and track all global initiatives and student and staff travel on software
  • Ensure global mobility programs are delivered in accordance with Conestoga’s travel risk policies
  • Monitor student exchange balances according to signed agreements with global academic partners
  • Arrange for pre-departure training access for all travellers (online modules, face-to-face workshops, etc.)
Qualifications
  • High levels of customer service skills and ability to maintain confidentiality
  • Exceptional communication and interpersonal skills, with the ability to listen, empathize, problem solve, exercise good judgment, work with interruptions, resolve conflicts with a diverse student population
  • Knowledge of the college setting and the workings of its administration, including programs of study, academic regulations, registration procedures and the full range of student services
  • High level of professionalism, political savvy, and cultural competence when dealing with partner institutions and global network
  • Three years of experience coordinating a wide range of global opportunities, preferably in international education and outbound mobility, post-secondary education, or business administration
  • Experience analyzing academic records, interpreting, and applying regulations and procedures
  • Experience facilitating/presenting/delivering student orientations, student information sessions, or other similar training/workshops
  • Bachelor’s Degree in International Business, Business, International Relations, Marketing, Higher Education, Project Management, Business Administration, Student Services or related field
  • Goal and results focused individual, with the ability to balance and manage competing priorities in a high-volume environment and work with minimal supervision
  • Demonstrated advanced proficiency with general computer applications (Office 365), plus an understanding of, and corporate experience using, Adobe Creative Suite, social media tools, SharePoint, OneDrive, and data management software and general technological savvy
  • Four to six months of experience studying/living/working abroad on an academic outbound mobility program during undergraduate studies considered an asset
