You're ready to join us as we explore and shape how Vancouver Foundation might do even more to align justice, equity, diversity, and inclusion with our culture and our mission.About the PositionThe Coordinator position supports the overall work of the Grants & Community Initiatives Department. This is a multi-faceted position that requires generalist skills, with an eye for detail, while understanding the broader strategic goals of the department. While this position will have some dedicated responsibilities, the Coordinator will be expected to move across teams to provide administrative and support functions as needed. The Coordinator will work under different Directors, dependent on the work/team assigned.Main ResponsibilitiesGrantmaking* Support grant seekers in application process (inquiries and online support)* Receive, validate, review, and assign proposals for review* Evaluate grant application and provide recommendations* Configure grant management system for new granting streams* Acts as a liaison with Finance as necessary on grants requests, expense submissions, grant payment reporting and process* Monitor grantee files in grants management database and ensure data integrity* Support monitoring grantmaking practices to ensure compliance with administrative policies and procedures, and able to identify process improvements across GCI* Proficient user of the grantmaking software (currently SmartSimple), and liaises with IT and consultants as necessary* Supports Community Advisor management, coordinates communications, expenses, logistics, ongoing learning opportunities and provides technical support as required.Program Support* Supports program application processes (inquiries to reviews)* Supports Manager to convene selection committee, coordinate communications, logistics, learning opportunities and technical support as required* Works with Finance as necessary to support expense submissions, payments, and reporting* Supports Managers with all engagement activities* Supports program related logistics and planning in collaboration with the ManagerAdministration and Engagement* Receives internal and external inquires related to GCI's work and redirects and/or corresponds directly as appropriate.* Works across GCI to support departmental meetings and special events, including preparation, logistics, catering, minutes, and record management as needed* Produce reports and documents as needed; research background information; extract, organize and present data* Processes invoices and payments as needed for the department* Updates website content as required in collaboration with Communications* Supports Engagement team with community listening to ensure the needs of communities are centered in our efforts to advance our North Star.* Supports Program Managers with written and verbal presentations to Advisory and Board Committees, Donors, fund holders and other relevant community stakeholders.* Supports management team with special projects as they ariseDesired Experience/Education/Skills* Experience in Not-for-profit and/or social purpose organization* A quick learner with a natural curiosity and desire to ask questions* Experience in providing administrative support for major projects/programs* Ability to use a range of software applications including CRM and/or grants management software* Experience in complex environments that demand priority-setting and balancing competing interests and needs* Demonstrated ability to work with diverse communities at various levels (from grassroots organizations to government ministries)* Proficient user of MS Office Suite including Word, Excel, PowerPoint, and Outlook* Strong technical skills include the ability to use a range of software applications including CRM and/or grants management software and websites* Occasional weekend and evening hours may be required* Some travel may be requiredWe know that there is rarely an ideal or perfect candidate for a job, and we are actively working to eliminate barriers in our employment process. Through our remote working policy there is an opportunity to work from home across BC.
