Facilities Project Coordinator (Temporary)

At the City of Penticton, our goal is to serve our residents, businesses, and visitors through good governance, partnership and the delivery of effective and community-focused services The City of Penticton is looking to fill the temporray (for up to 6 months) position of Facilities Project Coordinator in our Facilities Department.
The Facilities Department is responsible for the planning, design, construction, operations and maintenance of over 30 City-owned buildings. This department ensures these buildings operate at optimum efficiency to enable other City departments and lessees to effectively deliver services and programs to the community.
Reporting to the Facilities Manager, the Facilities Project Coordinator will be responsible for overseeing the planning, implementation, and tracking of a variety of Facilities Capital works projects. As an integral part of the Facilities team, the successful candidate will undertake all aspects of project management, from bidding to project closeout while maintaining and establishing positive working relationships with clients and team members. The successful candidate must have 2+ years of experience as a Project Coordinator in construction and or restoration repairs, who is highly organized, and comfortable working in a dynamic, fast-paced, environment.
Key Responsibilities:
- Preparation and distribution of accurate and timely documents including, agendas, status reports, minutes, communication logs, change management reports, and other required documentation.
- Plan, organize and manage materials, equipment, in-house personnel and subcontractors.
- Facilitate successful project delivery on various-sized projects to meet the project scope, schedule, and budget.
- Establish work scopes and identify requirements for subcontract and/or in-house labour for project completion.
- Develop and maintain controls for project schedule, cost, change order tracking, subcontractor management and job-site safety.
- Review construction documents and site conditions to assess project costs and risks.
- Coordinate project team activities and interact effectively with Clients, Contractors, Engineers, and other consultants as required.
- Working closely with the Procurement Department for issuance and evaluation of Requests for Proposals/Quotes.
- Meet project goals, schedules, policies, procedures and performance standards in accordance with objectives.
- Provide required input to stakeholders.
Preferred Knowledge, Abilities & Skills:
- Thorough understanding of task assignment and schedule, budgeting and efficient use of time and resources.
- Able to effectively establish and maintain respectful working relationships with staff, other departments and the general public.
- Cost estimating and budget development.
- Ability to exercise courtesy and tact in the exchange of information with other employees and the general public.
- Excellent organizational skills, time-management skills
- Ability to effectively discuss and make presentations related to project plans, milestone updates, and technical issues with clients and stakeholders.
- Proven ability to complete projects according to outlined scope, budget, and timeline.
- Strong ability to lead multidisciplinary teams on projects varying in complexity with a demonstrated ability to handle multiple assignments and priorities concurrently.
- Activity and resource planning.
Education, Training & Experience:
- Gold Seal Certification, PMP Designation, or Trade Certification is an asset.
- Minimum of 3 years of Project Management experience.
- Working knowledge of construction documents, drawings, specifications, and current construction practices and methodology.
