Job Description
Come work as a Regional Clinical Equipment and Supplies Coordinator with Vancouver Coastal Health (VCH)!


Reporting to the Regional Professional Practice Lead, Equipment and Supplies, the Coordinator represents Vancouver Coastal Health (VCH) on industry committees, such as the Clinical Equipment and Supplies Committee (CESC) and the Supply Chain Customer Service Committee (CSC) to ensure PHSA Supply Chain clinical equipment and supply decisions are in line with established VCH and organizational and clinical standards and goals. Supports the engagement of appropriate organizational stakeholders (Sterile Supply, Human Factors, Infection Control, physician groups, clinical areas, etc.) in all phases of the procurement cycle including product information, decision-making, product conversion implementation, problem-solving, supporting clinical education needs, and evaluation. The Coordinator supports activities within a complex health care environment where all types of care facilities, delivery models, and clinical and operational stakeholders are involved.


As a Regional Clinical Equipment and Supplies Coordinator with Vancouver Coastal Health you will


  • Network, understand and support equipment and supply information within the context of all professional practice structures, related clinical and program teams, and at the community of care and organization levels for the primary purpose of equipment and supply standardization and practice integration.
  • Support related projects and initiatives, incorporating change management and knowledge translation considerations. Assists to oversee assigned project staff as applicable and monitors project progress, provides status updates.
  • Act as the central point of contact on behalf of Professional Practice and VCH with PHSA Supply Chain and provincially regarding clinical equipment and supply management activities. Coordinates effective and accessible information for all stakeholders who are engaged in each process, such as trials, product standardization reviews, issues, implementations and quality improvement initiatives.
  • Perform other related duties as assigned.
  • Develop, and/or assists in the development of business cases related to new clinical supplies and equipment. Information may include clinical practice implications, potential savings, cost implications, operational impacts including human resource, and clinical workflow processes. Conducts or oversees post audits to ensure identified cost savings and clinical benefits are being realized.
  • Facilitate and maintain strong and collaborative partnerships between internal and external stakeholders, including PHSA Supply Chain, vendors, Business Initiatives and Support Services (BISS) and other key VCH leaders, for the purpose of ensuring results-oriented clinical equipment and supply management activities and quality improvement initiatives and ensuring clinical best practices, quality patient care, standardization across sites, and budgetary/fiscal alignment with VCH established standards and strategic imperatives.
  • Actively participate in discussions and information sharing among various Supply Chain stakeholders to ensure matters related to clinical needs/constraints, product supplies issues with existing contracts, and the purchase and implementation of new clinical products and equipment. Facilitates evidence-based decisions in the procurement of clinical products and promotes improvements in practice and product utilization.
  • Work directly with PHSA Supply Chain on behalf of VCH to support comprehensive assessment, review, and strategy of procurement initiatives from a VCH perspective. Activities include development and validation of volume/product usage reports, needs assessments, specifications requirements, and key reference resources.
  • Assist with activities of standardized product implementations including use of effective communication vehicles and coordination of execution of education plans such as vendor training sessions with staff. Facilitates formal and informal consultations to staff regarding managing the change process by maintaining contact, providing feedback, meeting with team members and recommending alternative approaches/variations to the implementation plan.
  • Coordinate and arrange with clinical areas to perform product evaluation processes by validating clinical evaluation criteria, issuing evaluation forms and determining scope and area for the trials in consultation with CESC and CSC; synthesizes and organizes data for presentations/recommendations.
  • Carry out responsibilities in accordance with health and safety requirements. Immediately reports unsafe situations by notifying supervisor or other appropriate personnel.
  • Assist to monitor vendor and product performance related to clinical supplies and equipment acceptability, utilization and availability. Supports clinical practice in providing advice and assistance to the supply chain management in vendor consolidation recommendations and other improvement strategies.
  • Liaise with departments/sites post-implementation to obtain feedback and channel information to the relevant committees regarding issues related to the new products and equipment. Supports CESC and CSC in the identification and management of clinical product and equipment issues, investigating product recalls and revising manuals and procedures as required.


Education & Experience


  • Minimum of three (3) years’ recent, related clinical experience in a health care environment with progressive leadership, professional practice and project management experience or an equivalent combination of education, training and experience.
  • Graduate of an approved clinical health profession with a Bachelor’s Degree in that profession, Nursing, Health Administration, or other related field.

  • Advanced level skills at organizing working groups and committees and the duties involved such as tracking project tasks; minutes; agendas and document preparation; liaising with stakeholders for feedback .
  • Advanced level spreadsheet, word processing, graphics, presentation, and database software skills.
  • Demonstrated ability to exercise good judgment and initiative; deal with frequent changes; make decisions for a wide variety of complex business matters.
  • Demonstrated skills in identifying issues and risks; developing and analyzing solutions and resolving complex issues.
  • Highly developed clear and understandable business writing, technological, and verbal communication skills; ability to document work appropriately; ability to tailor information to a variety of target audiences.
  • Demonstrated skills in team website administration and sustainment including to create, design, document and manage a library of education and communication resources.
  • Demonstrated knowledge of structures and supports within a health care system; multidisciplinary health care providers and their roles; models of care delivery.
  • Demonstrated people orientation Fosters collaborative and effective working relationships; effectively and accurately responds to the needs of stakeholders and is acutely aware of the impact of decisions and actions on the organization and various stakeholders.
  • Demonstrated knowledge of supply and procurement processes and procedures, project structures; change management processes; business case development; documentation of workflows within different types of health care settings and care delivery models.
  • Highly developed skills in preparing a variety of documents such as education resources, product news and alerts, and other communications to support clinical practice.
  • Demonstrated ability to be detail oriented; practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information.
