The Administrative Assistant/Project Coordinator is a key member of our high-functioning team and must be hardworking, meticulous, self-motivated and able to work in a fast-paced environment. Adaptability is very important as job duties are varied and change frequently.
Administrative Duties
·Receptionist duties, answering the telephone and greeting clients.
·Administrative duties including filing, minute taking, correspondence and report writing, office calendar management, office supply and equipment management and travel arrangements.
·Basic bookkeeping tasks including accounts payable, accounts receivable and bank reconciliations (training provided if necessary)
·Prioritize assignments and opportunities effectively.
·Act as an ambassador at various functions as needed.
·Other duties as assigned.
Program Coordinator Duties
·Assist the Executive Director in implementing programs.
·Prepare and execute processes for new program participant onboarding and service requests.
·Liaise with clients, process related paperwork, and schedule meetings.
·Create service-related communications (email, website, etc.) including weekly newsletters using email management software.
·Develop effective project and communication strategies regarding program services and initiatives, in collaboration with other staff and stakeholders.
·Assist other staff in developing processes for records management of key operational and project documentation.
Skills & Qualifications
·Minimum of four years experience at a similar administrative level, or an equivalent combination of education and experience
·Proficient in the use of computer applications, including:
·Microsoft applications: Office, Word, Excel, Outlook, Teams, OneDrive
·Internet and basic knowledge of social media and website maintenance
·CRM database
·Excellent interpersonal skills.
·Fluent in English
·Promote a positive work atmosphere and communicate in a professional and respectful manner.
·Maintain confidentiality.
·Work independently and prioritize effectively to meet demanding work schedules and deadlines.
·Experience writing reports, proposals and grants is an asset.
