Job Description

Pearkes & Fernandez law office is currently seeking a skilled Administrative Assistant to join our team.

Expected Start Date:September 5, 2023.

You will be supporting our firm’s two partners and associate, who will rely on you to manage their calendars, meet and be mindful of deadlines, and communicate effectively with clients. You will also help our lawyers prepare for court proceedings such as trial and application hearings, among other tasks. Additionally, our assistant will need to possess strong attention to detail, excellent time management skills, and the ability to work efficiently while maintaining a high level of accuracy.

Responsibilities

Your duties as an administrative assistant with Pearkes & Fernandez, in addition to the above, include but are not limited to:

  • Schedule and diarize important dates like court appearances accurately and appropriately;
  • Coordinate with the firm's bookkeeper; and
  • Assist in drafting legal documents and correspondence;
  • Handle billing clients, including drafting, finalizing, and sending invoices and statements;
  • Ensure client confidentiality is maintained at all times;
  • Manage and organize client files in both paper and electronic formats;
  • Schedule meetings efficiently with clients, lawyers, and other professionals.
  • Review the Supreme Court Civil and Family Rules and Forms to meet prescribed timelines and deadlines with the most current forms;
  • Handle incoming calls from clients, lawyers, and professionals while vetting cold calls from potential clients;

Working Hours and Requirements:

You will be expected to work from 8:30 a.m. until noon and 1:00 p.m. until 4:30 p.m., Monday through Friday, excluding statutory holidays. This is a full-time position based on a 35-hour workweek, but occasional additional hours may be necessary to meet file-driven requirements.

Technology and Legal Experience:

We are a Mac-based office and use various office-related programs, including but not limited to:

  • Gmail
  • Adobe Acrobat Pro
  • Dropbox
  • Clio Manage (a legal practice management platform)
  • Videoconferencing platforms (Zoom, Microsoft Teams, Google Hangouts, and Skype)
  • Microsoft Excel
  • Microsoft Word

Familiarity with Mac computers and the listed programs/services is an asset. However, training will be provided and continue as needed.

Technological fluency is essential to this position. Legal experience is considered an asset.

Pay & Benefits:

Pay: $22/hour
