The Experimental High Energy Physics Group in the Department of Physics at the University of Toronto is an important part of a dynamic research effort at the European Organization for Nuclear Research (CERN) in Geneva Switzerland. They are engaged in a project that is comprised two sub-projects; participation in the construction of a silicon detector (the ITk), and participation in upgrading the electronics for the liquid argon calorimeter. The project involves collaboration between Carleton University, University of Montreal, Simon Fraser University, McGill, TRIUMF, University of Toronto and York University.
Your Opportunity
The ITk project consists of the production of 1500 silicon detector modules incorporating silicon sensors and application specific integrated circuits mounted on hybrid flex circuits.
Sensors are produced by Hamamatsu Photonics in Japan. They are quality controlled at Carleton University and Simon Fraser University. Sensors and hybrids are manufactured into modules at TRIUMF (Vancouver) and Toronto, in collaboration with Celestica Inc. During production, QC and QA is carried out at Montreal, York U., Toronto, and TRIUMF. As well as being supplied to Toronto and TRIUMF, hybrids are supplied to European sites in Germany and Spain. The modules are assembled into large units known as petals at TRIUMF, and then shipped to assembly sites in Europe. The overall budget for the project is $24 million.
The ATLAS Project Coordinator will track the Canadian project schedule by liaising with the various Canadian sites involved and coordinating the Canadian schedule with the overall project schedule at the central laboratory CERN. The manager will be responsible for tracking the Canadian budget and overseeing contract negotiation, purchasing, and delivery of components of the project.
Your Responsibilities Willinclude
  • Liaising with service provider to coordinate the resolution of technical/administrative issues
  • Coordinating transportation and border clearance with shipping companies and customs brokers
  • Liaising with all stakeholders to ensure budget, deadlines, standards, and scope are met
  • Obtaining quotations and issuing purchase orders within established limits
  • Reviewing actual expenditures in comparison to budget and preparing reports for financial planning and funding terms compliance
  • Liaising with management to determine goals and priorities
  • Generating standard financial reports
  • Coordinating project activities with external partners from other institutions and agencies
Essential Qualifications
  • Advanced skills in MS office, specifically MS Excel, MS Project, MS Word, MS PowerPoint, and MS Outlook
  • Minimum five years recent and relevant experience in managing large scale projects and administering research grants and applications, including managing funding accounts and budgets, and tracking project progress
  • Ability to devise practical and economical solutions to problems in consideration of project schedules and budget goals
  • Demonstrated experience working directly with granting agencies (including MITACS, NSERC, NSF and OCE)
  • Excellent verbal and written communication skills
  • Bachelor's Degree in Business Administration, Accounting, or acceptable combination of equivalent experience and education.
  • Demonstrated experience in providing administrative support and financial reporting in research environment
  • Advanced skills with accounting tools such as FIS, DIS
  • Demonstrated experience administrating/enforcing University guidelines and practices, especially finance and operational guidelines
  • Demonstrated experience administrating research grants, coordinating activities with research partners and applying/enforcing sponsor and financial policies and procedures
Assets (Nonessential)
  • Experience with administration of grant funds from Provincial or Federal granting agencies would be an advantage.
  • Formal training in accounting and schedule tracking would be an advantage
  • Experience in a research or University environment would be an advantage
