We are looking for a Project Administrator/Administrative Assistant for our Caledon, Ontario, Canada office!
Responsible for ensuring customer satisfaction through order processing. Assists the Customer Excellence team regarding such matters as order entry, cut list entry and peer checks.
Essential Duties:
- Formulate/maintain departmental Excel spreadsheets and reports.
- Create credit documents as required.
- Prepares documents including customized reports and correspondence.
- Create professional written correspondence to customers, both internal and external.
- Responsible for supporting the Project Managers and Project Coordinators during the project lifecycle.
- Work collaboratively with Customer Excellence team to ensure the highest levels of customer satisfaction are maintained.
- Perform other duties as assigned by the Customer Excellence Supervisor.
- Maintain job order files, ensuring all pertinent paperwork is sent to and received from customers, following up as necessary.
- Learn customer excellence processes and tools and support customer requirements.
- Respond to daily customer calls providing project updates and handling customer needs in a confident, professional manner.
- Updates various databases as required including Salesforce.
- Provide order entry review (peer-check) as required to support the team.
- Support Project Coordinators and Project Managers for order processing activities.
- Provide support to maintain all project information and documentation.
- Responsible for entering new orders, add orders, and warranty orders as required.
- Ensure all project close-out documents are sent to customers.
- Enter project cut lists as required.
- Maintain schedules and others reports to track project deliverables, dates, and monitor deadlines.
Education/Experience:
- Experience in a Production or Manufacturing Environment preferred.
- Excellent time management, organizational and follow-up skills.
- A proactive personality with high energy, self-motivation, and strong decision-making skills.
- High degree of accuracy and meticulousness about details.
- High School Diploma; College preferred.
- Willing and able to work overtime as needed.
- Ability to assist with multiple projects under tight deadlines while dealing with the stress of a fast-paced environment.
Computer Skills:
- SAP or other equivalent ERP SAP experience a plus, but not a requirement.
- Must be proficient in all Microsoft Office applications (Word, Excel, Power Point) and Outlook
- Salesforce experience a plus.
Other Skills and Requirements:
- Good to excellent spelling, grammar, and written communication skills.
- Strong interpersonal skills with a positive work ethic.
- Excellent telephone and oral communication skills.
Physical Demands:
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
- Exert up to 20 lbs. of force occasionally, and/or up to 10 lbs. of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time, but may involve walking or standing for brief periods of time.
