Hayhoe Homes has an opening for a full time Administrative Assistant - Reception, to provide support to the office staff by performing various administrative tasks and to provide a friendly and courteous interface between Hayhoe Homes, our Customers and the Public.
Duties:
The primary duties of the Administrative Assistant shall consist of, but not limited to:
-Answer all incoming telephone calls. Greet all visitors to the office and direct callers or visitors to the appropriate office staff.
-Monitor office voicemail box, transcribing or forwarding recorded messages to the intended recipients.
-Distribution of incoming mail in accordance with prescribed office procedures.
-Preparation of hard copy and digital filing and updating of those filing systems as required.
-Responsible for photocopying, scanning, electronic filing, and in-house distribution of legal documents such as agreements/schedules and preparing any subsequent amendments or schedules.
-Assist in the coordination and scheduling of a variety of construction tasks, such as pre-delivery inspections, water meter inspections, distribution of schedules, enrollment of new houses in the Tarion warranty program and the transfer of utilities to purchasers.
-Provide administrative support as required to various managers.
Requirements:
The successful candidate will have the following qualifications:
-Requires a Secondary School Diploma or equivalent.
-Requires formal training in MS Office and the ability to perform basic clerical functions of the company, i.e., typing, file maintenance and report creation,
-Requires one year of administrative experience in a busy office environment, preferably in the residential house building industry.
-Prefers a general working knowledge of home construction, especially project scheduling.
-Requires the ability to follow established workflows thoroughly and accurately, manage time effectively, and manage multiple tasks and deadlines.
-Requires the ability to perform with a high degree of clerical accuracy with exceptional attention to detail.
-Requires excellent verbal and written communication skills.
