Title: Administrative Assistant Key Responsibilities:Managing the owners’ schedule
·Co-ordinate client meetings and contacts using Customer Relationship Management system.
·Set them up for success in their daily activities by strategically managing access to their time and attention.
·Proactively manage calendar and remain flexible to multiple changes.
·Provide high-quality support while anticipating needs.
·Set up client meetings and organize materials.
·Provide rock solid general administrative support (managing emails, ordering supplies, mail).
Company strategy and growth
·Work closely with owner to prioritize important projects, provide frequent updates, and ensure completion.
·Work collaboratively with suppliers from investment dealer, mutual fund companies and insurance carriers to ensure efficient and accurate workflow.
·Prioritize clients and situations in need of attention.
·Troubleshoot and anticipate needs.
·Process investment account applications, transfers and trades efficiently with accuracy and consistency.The ability to focus and a strong attention to detail are of utmost importance.
·Adherence to a strict code of confidentiality.
Building and managing relationships with clients
·Provide direction, advice, information, support, and confidence to the owner through ongoing communication and reporting.
·Project a professional and supportive image to all clients.
·Follow up with clients and contacts by telephone and email.
·Act as liaison between suppliers, owner, and clients (set up and confirm appointments, review meeting notes, contract follow-up)
·Enter and maintain information in our databases on an ongoing basis.
·You have a university or college degree.
·You take pride in completing work accurately and have a very strong attention to detail in task completion.
·Excellent telephone skills, with previous experience an asset.
·Proficient and confident with the use of programs such as Microsoft Windows including - Office, Excel, Word, Teams, along with Zoom and Adobe.
·Excellent ability to communicate in English both verbally and written.
·Previous experience working in the financial services industry is not required but would definitely be considered an asset.

Compensation:·Base salary $55,000 - $60,000
·Results-based personal bonus
·Paid vacation
·Health spending account
Working Schedule:
·9am to 4pm, Monday to Friday
·Work location will be primarily in office with the possibility for a hybrid work schedule in the future.
