Job Description

Kelly Services has a customer located in Oakville (close to Mississauga) who is looking for an enthusiastic, high energy, personable Receptionist/Administrator to join their team.


RESPONSIBIILITIES:

  • Ensuring Back-ups are done bi-weekly (monthly)
  • Generate month-end reports
  • Programming phone switch and voicemail for new clients or changes and testing
  • Check kitchen supplies and cleanliness daily
  • Setting up client data in Customer Relationship Management (CRM) database software and testing/checking for accuracy and functionality
  • Delivering superior, customized Receptionist services to each of their many clients
  • Scanning, faxing and photocopying
  • Ensure facilities are checked first thing in the morning and monitored/cleaned after every use
  • Ensuring office supplies are adequate
  • Conducting client orientation meetings to collect information and program systems accordingly
  • Security pass and key provisioning and testing
  • Appointment bookings for clients, meeting room management and billing detail
  • Resolving client issues
  • Inspect whiteboards for cleanliness and good erasers/markers
  • Greeting prospective clients, existing clients, and their clients by name
  • Troubleshooting and contacting support personnel
  • Live Call Answering, Screening, Introducing and Connections to their clients and their companies
  • Customized message handling using email, text messaging, twitter, and .wav files
  • Courier package and mail sorting duties
  • Call handling is done using software displaying up to 6 clients profiles simultaneously
  • Assisting clients with technical issues (network connectivity, drivers, print, phone)
  • General administrative duties using Excel, Word, PowerPoint, etc.


REQUIREMENTS:

  • Eager to learn
  • Pleasant telephone manner and well spoken
  • Excellent verbal communication skills
  • Must be able to multi-task and possess strong organizational skills
  • Ability to interact with all types of people
  • Possess excellent listening skills
  • A people person who is comfortable interacting with all types of people
  • Attention to detail and accuracy
  • Able to remain calm in a busy work environment


PERKS:

  • Hourly pay rate starts at $18.00 per hour

  • Work Monday to Friday from 8:15am - 5:00pm
  • Permanent position in Oakville (border of Mississauga/Oakville)
