TEAM LEAD, ADMINISTRATIVE PROCESS


FACULTY OF HEALTH STUDIES


NorQuesters are difference makers and we’re searching for someone dedicated to finding ways forward to join our Faculty of Health as the Team Lead, Administrative Process.


The Administrative Process Team Lead directly supports the Business Operations Manager with a high level of business acumen, providing advice, expertise, and support to functions such as scheduling and business activities, leading administrative supports, providing staff and technology training, performance management, business continuity, and compliance. The Administrative Process Team Lead supervises the Onboarding Success Coordinator, and the Casual Administrative Support Pool. This role's developed expertise leading a team will allow them to align the right work with the right person, manage staff in a way that improves their ability to succeed on the job, while also building synergies and determining operational needs across the division. They will work in partnership with Team Lead Business Planning to coordinate the support of faculty-wide operations and maintain daily business functions. Coordinating the delivery of day-to-day administrative supports, supporting student-facing and staff-facing roles to respond to student inquiries, resolving issues as they arise, supporting instructors, and responding to daily administrative requests of Program Chairs and Managers will be managed by the Team Lead.  


How You'll Make a Difference


  • Ensure that the division is compliant with the legislative requirement such as FOIP, and records retention policies. Ensure that the day-to-day division practices align with the legislative requirements and supports data collection for evaluation and quality assurance while providing advice about best practices in data collection.
  • Identify and map business procedural issues, make recommendations for streamlining processes, and then manage the change implementation process within the division. Identify cost saving and efficiency measures for the division to work smarter not harder.
  • Provide updates to the leadership team, escalating issues appropriately.
  • Ensure that the team has the most up to date information about processes and tools and that appropriate technology is used to meet the needs of the division.
  • Ensure that the team supports internal and external stakeholders promptly, efficiently, and timely to help create and build positive relations for our division.
  • Implement metrics developed by the leadership team to measure and monitor outcomes. Coordinate procurement and requisitioning process, along with the business continuity process.
  • Provide support and direction to the team regarding human resources, change management, recruitment, performance management, and retention.
  • Develop the team to ensure a strong, cohesive, and collaborative group that provides excellence in customer service and ensures effective distribution of service between programs in a manner that supports program success.
  • Utilize, train staff, and trouble-shoot issues with College software including PeopleSoft, Moodle, MS Office Suite, and MS Teams.
  • Develop effective working relationships with internal departments such as human resources, procurement, and the office of the register. Effectively communicate and collaborate within the faculty to ensure business support and guidance lead to efficiency and accountability.

  • Bachelor’s degree in business, management, or related field is preferred. Consideration may be given to those with a Business Diploma and/or considerable relevant experience.
  • 3+ years directly related experience in a post-secondary environment or similarly complex portfolio.

SALARY: $60,724-$78,850 annually, reflective upon what you bring AKA your education and experience. This is a fulltime permanent position with immediate access to our great pension and benefit programs.
