Working for the Department/Faculty
The Undergraduate Medical Education office in the Faculty of Medicine & Dentistry supports students in a four-year program leading to the degree of Doctor of Medicine (MD).
Position
The team lead curriculum oversees the day-to-day management of the MD curriculum staff by monitoring workflow, maintaining quality standards, accreditation standards, and developing and implementing action plans to meet program goals. The incumbent supervises seven staff that provide day-to-day oversight of the four year MD program curriculum and ancillary activities. The incumbent provides direct support to the Associate Dean MD Program, the Assistant Dean Curriculum, the Program Director, and course coordinators and other leadership
Duties
  • Provide administrative oversight of the administration of internal electives and selectives, as well as both incoming and outgoing Canadian student electives.
  • Under the direction of the Assistant Dean, Curriculum, and in partnership with the Lead for the Curriculum Management Unit, implement the MD curriculum management plan to ensure the appropriate delivery of the curriculum.
  • Active administrative member of the Pre-clerkship Committee, Clerkship Committee and MD Program and Curriculum Committee (MDCPC).
  • Foster and steward relationships with administrative contacts in departments and teaching sites, especially those responsible for core learning experiences and selectives.
  • Provides administrative guidance and oversight of the Discovery Learning program.
  • Working closely with the Assistant Dean, Curriculum to support best practices in teaching and learning, and engage in related scholarship.
  • Oversee bookings for UME managed teaching spaces/facilities and upkeep of the same.
  • Ultimately responsible for the administration of longitudinal course elements that are not directly linked to a course such as patient immersion experiences, students in service, physical exam and communications.
  • Provide stewardship of simulation equipment, and support opportunities for the use of the same. Facilitate the training of staff, students and preceptors on the use of simulation equipment and models.
  • Support course coordinators to maintain updated course outlines and syllabi, and to recruit instructors, preceptors and facilitators.
  • Provide oversight and administrative support to the curriculum working groups.
  • Support the planning and implementation of regular curriculum retreats.
  • Completes other duties as may be required from time to time.
  • Manages communication within the MD Program and medical education community as it relates to curriculum planning and delivery.
  • Follow curriculum management guidelines and maintain compliance with the standards of the Committee on Accreditation of Canadian Medical Schools (CACMS).
  • Ensures position descriptions are maintained and up to date. Completes formal probationary and annual performance appraisals in consultation with the Program Director UME. Conducts regular meetings with support staff to discuss upcoming deadlines, procedural changes and to counsel staff.
  • Ensures that the learning objectives are clearly documented and communicated to instructors and learners.
  • Ensures adequate administrative support is provided to course coordinators and instructors, and facilitates an orientation for new course coordinators and instructors.
  • Manages, coaches, motivates, develops and supervises the MD curriculum staff who have a primary responsibility for the administration of the MD program curriculum and ancillary details.
  • Maintain opportunities for self-directed learning (Aquifer).
  • Ensures learning objectives, schedules, course materials, and vodcasts are posted in the curriculum delivery and management system (MedSIS).
  • Supports forecasting and reconciliation of expenditures within the curriculum area.
  • Oversee academic scheduling of courses/rotations for all students, and maintain this information within Campus Solutions. This includes development and communication of the year one and two global schedules and year three and four track schedules.
  • Arranges for the acquisition of required educational materials and supplies.
  • Communicate with the Registrar's Office in creating and maintaining the yearly academic calendar and ensuring that students are appropriately registered.
  • Work with the Assistant Dean Curriculum, Curriculum management Lead, and Assistant Dean, Program Evaluation to integrate curriculum mapping, gap analysis, program evaluation and assessment.
Minimum Qualifications
  • Knowledge of university and faculty policies is required to carry out responsibilities effectively
  • Must be able to work flexible hours including days, evenings and weekends
  • Post-secondary degree in Education or combination of education and relevant experience
  • Experience in operation and management in a post-secondary educational program
  • Demonstrated supervisory experience; completion of a supervisory development program
  • Experience in medical education is a strong asset
  • Expertise in curricular implementation, delivery, supervision, and data management, is strongly preferred
  • Computer proficiency in Word, Excel, PowerPoint, PeopleSoft, Google Apps
Preferred Qualifications
  • Exceptional organizational skills with the ability to multitask.
  • Experience and/or courses dealing with difficult scenarios and handling sensitive information would be beneficial.
  • Superior oral and written communication, interpersonal and relationship building skills; strong commitment to client service with a positive, professional approach.
