Our client, an Asset Management company is looking for a Senior Executive Assistant/Business Manager to support the company’s President/Co-Founder. In this unique position, the successful candidate will contribute to the President’s office, performing all levels of management. This includes providing high-level administrative support to the President, and participating in all aspects of the business, meeting with tenants, lawyers, investors, contractors, vendors, and employees. The position will also require traditional Executive Assistant duties, such as managing calendars, scheduling appointments, preparing reports, making travel arrangements, and performing other administrative duties as assigned. The position will be based out of the corporate office in Toronto, with occasional travel to our site offices.
Key Responsibilities:
• Attend all meetings alongside the President with internal/external stakeholders, including lawyers, investors, tenants, contractors, vendors, employees, etc.
• Act as a liaison between the President and internal/external stakeholders.
• Travel to all site offices with the President as required (primarily Kitchener, Barrie, Sarnia, London, and Windsor).
• Prepare and edit documents, reports, and presentations.
• Handle confidential and sensitive information with discretion.
• Anticipate the President’s needs and proactively provide support to maximize their productivity.
• Manage special projects as assigned, such as events, initiatives, and new business opportunities.
• Manage and maintain the President’s schedule, including appointments, conference calls, and meetings.
• Coordinate travel arrangements by booking flights, hotels, and ground transportation.
• Assist with other administrative tasks, as needed.
Requirements:
• Minimum of 3 years of experience as an Executive Assistant or similar role, preferably supporting a C-level executive.
• Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
• Strong communication and interpersonal skills, with the ability to interact with stakeholders at all levels.
• Ability to handle confidential information with discretion and professionalism.
• Proficiency in Microsoft Office Suite and other relevant software programs.
• Bachelor's degree in Business Administration, Communications, or a related field is preferred.
