Job Description
Are you an Executive Assistant with experience providing high level administrative support to Directors and the VP level?
We are currently looking for a n Executive Assistant to support our client's Toronto office (working hybrid). In this role you will support 3 Directors, work full time hours on a 12 month assignment, and earn a pay rate of $41.30 per hour.

Responsibilities
  • Builds effective and inclusive relationships with personnel at various levels
  • Handles confidential information and communications appropriately
  • Provides high-level administrative assistance to 3 Directors - (1) Design, (2) Product Development and (3) Customer Success
  • Manages executives calendars end to end
  • Applies skills and analytical knowledge acquired through experience and ongoing learning to perform the more complex duties of the position.
  • Provides guidance to other employees regarding new methods, assignments or procedures
  • Full comprehension of the company's operation and procedures.
  • Researches and analyzes data within the context of a project, departmental needs, or company direction and makes recommendations for improvements
  • Successfully plans and executes on-boarding for managers and/or direct reports
  • Works under limited supervision and executes own work planning. Initiates appropriate action to resolve routine to moderately complex problems. Escalates issues to management when appropriate.
  • Event planning, off-sites and team-building events
  • Expense reports and purchase order creation
  • Multiple, complex calendar and travel coordination management for leaders
  • Creates collaborative processes with other administrative personnel to optimize cross-unit functions
  • Manage and update email distribution lists
  • Create, maintain & update documents for department in Google suite
  • Uses discretion, judgement and knowledge of organization to facilitate the executive's activities.
  • Track department initiatives, drive and follow-up on outstanding action items
  • Track and reconcile budget reports with department spending on a monthly basis
  • Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others.
Qualifications
  • Minimum 5+ years of experience
  • Experience working in a software organization a plus
  • Experience managing high volumes of emails and direct messages
  • Exercises excellent judgment within areas of responsibility
  • Proficient in a suite of standard office software
  • Handles multiple tasks, switches priorities and focus as needed
  • Communicates clearly at multiple levels and with diverse audiences
  • Demonstrated problem solving skills
  • Fundamental project management experience, including development of basic project plans and successful execution
  • Proven experience working in a fast-pace environment while providing superior service levels
  • Organizational skills
  • Must be proactive, take ownership, respond quickly, and have excellent follow through skills
