The Bilingual Executive Assistant (EA) will be providing support to the CEO of our association client in the education sector. This role involves interacting with executive members as well as internal and external stakeholders. The EA effectively manages office operations, provides administrative assistance to the broader management team, and independently handles projects from inception to completion.
This position is a Hybrid role working 2-3 days/week onsite to start. This client office is located near Yonge/Bloor and is easily accessible via public transit. It will be an 11 week contract to start with an opportunity for extension and/or permanency.
The role is working Monday - Friday between the core business hours (7.5 hour/day)
Hourly pay rate range is $35-$40/hour (based on experience)
Responsibilities:
- Prioritize communication flow to and from the CEO, managing complex details.
- Coordinate with internal and external stakeholders to achieve desired outcomes.
- Perform other assigned duties as required.
- Facilitate preparation and distribution of meeting minutes.
- Collaborate with other executive assistants and colleagues across the organization for optimized work processes.
- Prepare and distribute minutes of SLT and stakeholders' meetings.
- Draft correspondence and respond directly to stakeholders.
- Coordinate agendas and arrangements for committee meetings.
- Manage appointments, meetings, travel itineraries, and related arrangements.
- Maintain division work plan and schedule, collaborating with departments and external consultants.
- Assist in problem-solving and contribute to continuous improvement initiatives.
- Liaise independently, following established guidelines on behalf of the CEO
- Organize and perform advanced administrative duties, maintaining confidentiality and discretion.
Qualifications:
- Minimum of 7 years of experience, with at least 3 years supporting an executive-level position.
- Ability to draft moderately complex letters and correspondence.
- Bilingual in written and spoken French and English - MUST have
- Experience supporting a C-suite executive or VP/Director level is an asset.
- Flexible working hours availability.
- Proficiency in word processing, spreadsheets, Teams, Adobe, and slide show presentation applications.
- Excellent interpersonal skills for effective communication with staff and external stakeholders.
- Strong customer service and executive administrative skills within a confidential environment.
- Training in minutes and report preparation is a plus.
- Advanced skills in Microsoft Teams, word processing, spreadsheets, and slide show presentation applications.
This role requires a highly organized and professional individual who excels in multitasking, communication, and maintaining confidentiality. The Bilingual Executive Assistant will provide essential support to the CEO's office and contribute to the seamless functioning of the organization's executive operations.
