The Executive Assistant is responsible for providing day-to-day administrative support to the Funds and Secondaries Investment team. Some of the main duties include managing calendars, meetings, expenses, booking events, developing offsites, travel and correspondence.


Role-specific Accountabilities:


  • Work closely with other executive assistants and teams to increase efficiencies and provide overall departmental support.
  • Provide general administrative support to a team of investment and finance professionals. Team can be comprised of analysts, associates, senior associates, principals and managing directors.
  • Work closely with external partners, assistants, vendors, and other stakeholders to schedule meetings or events in various countries and cities around the world.
  • Accommodate and complete staff requests managing timelines and deliverables.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Work cross functionally as part of a team with other members and departments.
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Ensure team members are prepared for all meetings and carry forward action items.
  • Reconcile credit card expenses and input into the Global Expense Reporting System.
  • Co-ordinate, arrange and oversee team event planning process, as required.
  • Be a CPP Investments ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible, and approachable manner.
  • Manage distribution lists, submit IT requests, and ensure team has required tools (e.g., hardware) to be effective.
  • Manage calendars on behalf of executives, working with other departments to coordinate meeting booking.
  • Anticipate required calendar changes based on holidays, board meetings, travel, and other conflicts.


Qualifications


  • Interest in the investment industry is considered an asset.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
  • College diploma or undergraduate degree is required.
  • Advanced knowledge of MS Office (Word, Excel, Outlook, Calendar) and comfort and interest in learning new applications.
  • Extremely motivated, energetic, eager to learn, adaptable, calm under pressure and professional.
  • Able and willing to work flexible hours, as required.
  • Experience providing support to multiple professionals and managing competing priorities.
  • Exceptional (written and verbal) communication and interpersonal skills.
  • Experience with complex calendar management, booking high profile meetings, events and managing complex expense reimbursement process.
  • 5-10 years’ experience gained from working in a fast-paced, professional environment.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines.
  • Ability to effectively collaborate, especially with others in a similar role.
  • Experience with expense software is an asset
