THE ROLE IN A NUTSHELL
As the Executive Administrative Assistant, you will report to the Senior Vice-President – Product and will be responsible for providing primary administrative support. You will also be responsible for providing and coordinating administrative services to the Product Executive and Management Team.

IN THIS ROLE, YOU CAN EXPECT TO:
- Executive and Management Team as required. This includes but is not limited to: report creation and maintenance, project support, research tasks, preparation of business travel & seminar arrangements, and meeting scheduling, agenda development, expense reconciliation, and minute taking.
- Other responsibilities and projects as may be required.
- Organize internal and client events, including venue, logistics, onsite support, room set-up and document preparation.
- Partner with the Product Senior Leadership team to help support meeting strategic business objectives. Ensuring that time spent by the Leadership Team aligns with the overall business objectives.
- Provide confidential administrative support to the Senior Vice-President – Product and to other members of the Product
- Develop effective processes to assure efficient delivery of information.
- Develop and cultivate collaborative relationships with peers, members of the GS Leadership Team, and external partners.
- Coordinate meeting materials and logistics for departmental meetings, ie. arranging boardrooms, catering, presentation equipment.
- Assist in the preparation of business documents and presentations including format and content.
WHAT WE ARE LOOKING FOR
- Prior experience working with Senior Executives.
- A high level of initiative, attention to detail and accuracy.
- Excellent communication skills (verbal and written).
- Strong computer skills – extensive knowledge of Excel, Word, PowerPoint, and Internet tools.
- Sound judgment regarding ethics, discretion, privacy, and confidentiality requirements.
- Proactive, diplomatic, and confident with the ability to develop, foster and maintain relationships with a wide variety of stakeholders including members of the Executive and Management Team.
- Excellent organizational and time management skills.
- Minimum of 5-7 years of experience with a preference for industry experience.
- Post-secondary school degree or diploma.
- Ability to work independently and as part of a team.
- The ability to travel as required.
- Ability to meet deadlines and manage a variety of requirements and priorities concurrently.
- Analytical, problem solving and critical thinking capabilities.
