Hourly rate - £10.98 - £11.51 Depending on experienceContract - 8 Months with the chance of an extension or permanent placementLocation - Winchester and Home


Job Purpose


To provide effective and efficient administrative support to the Adults Learning & Development team.


Main responsibilities


Provide excellent customer service through responding to routine enquiries, both orally and in writing, on behalf of the department.


Administer training courses; this will include booking venues; creating and advertising courses through the Learning Zone; managing bookings through a specialist database; raising purchase orders; liaising with trainers and venues; creating and distributing course information and handouts; and, reviewing course evaluation forms.


Procurement through the SAP system; specifically, raising purchase orders and goods receipting. Assist in the monitoring and control of routine budgetary information and other data to support processes and service level agreements.


The following are examples of activities within this job role. These duties may vary on account of changing priorities:


  • Undertake any training required to meet the expectations of the job role.
  • Scheduling of meetings, booking venues and refreshments
  • Process bookings and manage course numbers
  • General admin duties (i.e. filing, photocopying, scanning etc)
  • Liaison with training providers, course participants and venues
  • Data inputting; including, compilation of statistics for management information with the use of Excel spreadsheets and databases
  • Customer service, including opening of post, answering telephone, message taking & dealing with routine enquiries/signposting
  • Compilation of routine letters and course information for training courses
  • Ordering of stationery and raising purchase orders through the IBC SAP procurement system


Experience/Skills


  • General administrative experience
  • Ability to compile routine letters, e-mails and other correspondence
  • Ability to prioritise workload, multi-tasking with minimal supervision & adapting to changing priorities
  • Ability to build/maintain good working relationships with managers & staff
  • Experience of providing a frontline service to customers
  • Experience of working in Public Sector environment or similar
  • An excellent team player with a flexible approach
  • Good organisational and time management skills


A good working knowledge of Microsoft Word, Excel and Outlook
