We have an exciting opportunity for an Administrative Assistant with aspirations of becoming an Executive Assistant to join a boutique investment firm serving social and environmentally conscious investors.
Reporting to the Lead EA to the CEO, We are looking for a professional, motivated individual who takes pride in the overall function and operation of the office. Working alongside busy professionals, your job is to enable the company's continued growth by removing friction points for the principals and business stakeholders.
Your core duties include;
- Provide administrative and office support to ensure efficient operation of the office (**this includes assisting with dishes and basic tidying of the kitchen...but don't worry they're grown ups and generally take care of themselves**)
- Answer and direct phone calls, emails, and other correspondence
- Warmly greet and provide assistance to visitors and clients
- Schedule appointments and maintain calendars, manage resource bookings such as boardrooms
- Prepare and distribute memos, letters, and other documents
- Maintain filing systems, both electronic and physical
- Perform data entry and update databases
- Coordinate meetings, conferences, and travel arrangements
- Manage inventory of office supplies and place orders when necessary
- Assist in the preparation of reports, presentations, and other material
Skills:
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to multitask and prioritize tasks
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and expense management software such as Concur
- Attention to detail and problem-solving skills
- Ability to work independently as well as in a team environment
- Professionalism and discretion when handling confidential information
- Strong time management skills
This is a contract position to start with the potential for extension or conversion to a full time role. Please note that this position is full time in office in the company's convenient, downtown Financial District location, with the possibility of remote work in future.
