We are looking for a full-time Administrative Assistant, Finance. As a key member of the Finance team, you will be reporting to the Director, Finance. In this role, you will be responsible for supporting the Director of Finance and providing administrative support to the finance department.
Responsibilities:
- Collates and distributes monthly financial reporting packages
- Provides calendar and e-mail management to the Senior Managers and the Director of Finance
- Other duties as assigned
- Prepares monthly AMEX expense reports and adhoc Expense reports
- Carries out special projects as needed
- Prepares daily financial reports
- Administers corporate credit card program
- Reviews and edits billing worksheets (prebills) for monthly client invoicing
- Co-ordinates set-up for department meetings including scheduling, room bookings, catering etc.
- Drafts and prepares confidential communication
- Co-ordinates firm insurance applications and credit applications
- Prepares annual budget PowerPoint presentation
- Reviews and distributes monthly, quarterly and annual Partner related correspondence
Requirements:
- Superior attention to detail with strong writing, proof reading and editing skills
- Post-secondary education in a related field
· Administrative assistant experience, preferably in a professional services environment
- Basic understanding of accounting an asset
- Advanced proficiency in MS Office applications including Word, Outlook, Excel, PowerPoint, Teams and Adobe
- Proven problem-solving skills and ability to demonstrate critical thinking
· Demonstrates excellent client service and ability to anticipate client needs
