Job Description

Tenure - Full Time

Location - Toronto, ON

Hours - 8 AM - 4 PM/9 AM-5 PM

Pay Rate - $30 - $33/hr

Your Key Responsibilities:

  • Organization of travel, off-site events for large groups and lunch engagements
  • Routine office duties, scheduling and calendar management including correspondence and agendas, records and reports management and other duties including phone calls, manage requests for meetings, and coordinates various aspects of interdepartmental communication
  • Taking initiative for additional projects and duties as needed
  • Preparation/coordination of reports and presentations using data from various data sets in a combination of written, numerical, and graphical formats
  • Financial records management including expense report preparation
  • Administrative support, including preparing written communications, management of schedules, including vacation schedules expense reports, invoice coding, process flow for document authorization, signatures, and filing
  • Coordinating large-scale corporate and company social events
  • Document control and creation such as memos and company letters

Your Qualifications:

  • Excellent time management, organizational, and problem-solving skills
  • A minimum of 5+ years of executive administration experience
  • A positive attitude and ability to work with little supervision
  • Proficiency in Microsoft Office skills, including Word, Excel and Outlook
  • Comfortable working autonomously and supporting multiple teams
  • Proven ability to work with all levels within a global organization and experience liaising with senior stakeholders outside the organization
  • Experience and demonstrated discretion in dealing with sensitive/confidential information
  • The ability to multi-task while setting priorities, give attention to detail and time sensitive matters, and work effectively in a group environment
  • A post-secondary diploma/certification in administration or office management area
  • Excellent interpersonal, written, and oral communication skills
