Summary


The Administrative Assistant III reports to a Manager and provides coordination and support in the areas of the regional reports, regional information tracking, ESAT, regional newsletters and in some cases supervises other Administrative Assistants.


Key Duties & Responsibilities


  • Monthly inspections of first aid equipment, AED functionality, and replenishment of sanitization stations
  • Other duties as assigned
  • Access card management – Initiate new access requests, and deactivation of surrendered cards, as necessary
  • Coordinate and manage incoming mail/ courier deliveries, swiftly and accurately
  • Other related general administrative duties as required
  • Submit any reported deficiencies to landlord through work request system – Provide expected time of completion to original requestor and follow-up once complete
  • Perform regular walkthrough of office/meeting/lunch areas and report deficiencies to landlord to remedy
  • Lead and coordination locker management & assignments, furniture management requests, seating environments, fixed/ reserved seating, seating disputes, etc
  • Maintain meeting rooms through set-up and clean-up, pre and post meetings, in preparation for next meetings
  • Carry out the day-to-day execution of clerical duties to ensure operations are provided with administrative support
  • Ensure workplace supplies are adequately stocked, including printer toner, etc
  • As requested, coordinate the delivery of food and beverage services


Knowledge & Skills


  • Problem solving skills
  • Requires three (3) to five (5) years of administrative experience
  • Ability to work independently with little or no supervision
  • Self-motivated
  • Effective leadership skills – may have personnel to manage
  • Strong written and verbal communication skills
  • Strong customer focus
  • Excellent interpersonal skills
  • Excellent computer skills, proficient with MS Office
  • Strong time management skills and organizational skills
