With a continuous improvement focus, the incumbent will provide efficient and high-quality administrative support to the VP, Client Experience and Digital Channels. The successful candidate will be a self-confident, pro-active, innovative thinker with superior organization and time management skills, and the ability to handle a variety of responsibilities. The role is fast paced with multiple demands and requires a demonstrated regard for confidentiality and a high level of judgment.
What will you do?
  • Seek continuous improvement opportunities to develop new skills and keep abreast of advancing technology and tools
  • Manages the budget and expenses, including signing of Statement of Work, expense reimbursement, preparing and processing invoices
  • Partner with other Executive Assistants as needed and provide coverage for other EA's during vacation time/absence
  • Assist with onboarding of new hires
  • Support the VP’s respective teams with calendar management and other requirements as determined
  • Ability to build out and leverage an internal network, especially with those who support senior leaderships
  • Support the management of SharePoint site(s)
  • Requires the ability to handle highly sensitive and confidential information
  • May perform other duties as required
  • Submit expenses on Expense Management System (Concur) on behalf of the team
  • Efficiently manage all aspects of the Vice President’s short-term and long-term calendar, to ensure meetings are prioritized with internal and external clients, as well as business partners as appropriate
  • Manage all travel arrangements, VISAs, and accompanying material
  • Arrange visitor notices and greets visitors, if applicable
  • Monitor e-mail and alerting to issues requiring immediate attention or questions requiring responses
  • Efficiently plan and organize logistics for various business functions such as: team building events, town halls, workshops etc. assisting in organizing content, attendees, facilities, and presenters
  • Identify documents that require review
What you need to succeed?
  • Able to represent Sun Life professionally, internally and externally, and work well with partners, clients and consultants
  • Excellent time management and organizational skills with ability to manage conflicting priorities is required
  • Requires the ability to handle highly sensitive and confidential information
  • Able to quickly learn and be proficient in understanding the overall Sun Life and Client Experience Office organizations
  • Ability to build relationships and work well with partners, clients and consultants
  • Ability to work independently with minimal direction and frequent interruptions
  • Sound judgment with decision-making, negotiation and excellent communication skills
  • 3-5 years of Executive Administrative Assistant experience supporting multiple senior leaders is preferred
  • Proactively anticipate and respond to needs in a dynamic, fast-paced environment
  • Experience using Concur, Excel, Word, OneNote and SharePoint is an asset; experience with PowerPoint is required
  • Must possess a high level of commitment and dedication to the role and team

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
