About Maple
- Office operations: coordinating office activities and ensuring all necessary supplies, equipment, and services are available and functioning correctly; liaising with vendors, service providers, and building management to address office-related issues or requests; monitoring office inventory levels and placing orders when necessary.
- Travel and accommodation arrangements: coordinating travel arrangements, including flights, accommodations, and transportation, for employees as required; preparing itineraries and providing necessary travel information.
- HR support: assisting the P&C team with various HR-related tasks related to talent attraction, management, and retention; coordinating employee events and celebrations.
- Front desk duties: greeting employees, clients, and visitors during business hours, handling and directing incoming inquiries, and maintaining a tidy and presentable reception area.
- Financial administration: assisting with basic bookkeeping tasks, such as tracking expenses and reconciling receipts, and supporting payroll.
- Health and safety compliance: ensuring compliance with health and safety regulations and company policies to maintain a safe and secure working environment; monitoring and maintaining office cleanliness, including organizing regular maintenance and cleaning schedules.
- Office communication: keeping stakeholders informed with office-related announcements through various mediums, including Slack and email.
- The ideal candidate possesses a Bachelor's degree in Human Resources, Business Administration, or a related field and 2+ years of work experience in a people operations or office administration role, including internships.
- Proficient in a variety of web-based tools and technologies, including Google Suite (G-Cal, Docs, Sheets), the candidate has the ability to quickly master new software tools and platforms to do their day-to-day work.
- The candidate is an exceptional communicator who can convey and receive messages to meet the needs of colleagues and internal stakeholders, along with the ability to handle sensitive and confidential information with discretion.
- The candidate is able to demonstrate strong critical thinking skills, utilizing various problem-solving techniques and applying creativity and resourcefulness to solve day-to-day problems.
- Highly detail-oriented with a strong focus on accuracy and quality, the candidate has a proven track record of improving efficiency while ensuring work complies with policies and procedures; previous experience supporting key HR programs is considered an asset.
