Lloyd’s are seeking to recruit a Office Administrator/PA. The role will be 4 Days a week Monday through to Thursday office based. Canada represents Lloyd’s third largest market after the US and UK. The Office Administrator & PA position will play a role in providing, promoting and protecting Lloyd’s trading rights, supporting and enabling the Country Manager to execute successfully on their mandate, and sustaining Lloyd’s relationships and credibility with Managing Agents, Brokers, Coverholders, the insurance regulatory and other trade bodies


This role will ensure the smooth running of the office, providing the Lloyd’s Canada team, and visitors with a consistently safe, operational and welcoming working environment; as well as being responsible for the provision of full PA support to the Country Manager.In addition, the role will also assist in organizing Lloyd’s Canada’s marketing events and initiatives; support projects and act as the first point of contact for the service companies, brokers and clients.


Principal Accountabilities


  • Work directly with the Country Manager providing word processing and presentation support
  • Performs other administrative, office duties or projects as assigned including managing the office switch board as required. Be the first point of contact for internal employees and visitors inclusive of office phone management, Lloyd’s Canada inbox and directing queries to relevant parties.
  • Assisting in arranging internal and external events including training programmes
  • Manage the Country Manager’s day to day schedule, travel and expense processing
  • Manage a smooth and efficient running of the office and reception area, including managing local vendors for office supplies
  • Support special projects and work efforts accretive to the Lloyd’s franchise in Canada
  • Enter and update all Country Manager’s market and stakeholder interactions in Dynamics
  • Support local Regulatory Affairs and Compliance team with administrative tasks and functions


Skills And Knowledge


  • Proactive, excellent organizational skills, high attention to detail and the ability to prioritize work under pressure
  • Track Record of delivering customer focused service internal and external stakeholders
  • Adaptable to changing workloads
  • Desire to learn new insurance related subject matter
  • Some experience in supporting event coordination and general marketing efforts
  • Interpersonal, oral and written communication skills
  • Experience of providing efficient administrative support in an office environment
