Due to extreme growth VAST is looking to add to their team and HR Administrator.The HR administrator handles the HR needs of the Vast Group of companies including Union and Non-Union environments.The HR Administrator reports into the CFO and supports operation managers working as a team of one to handle HR needs across the organization. Candidate would be working out of each of our sites on a rotation with main location in Woodbridge, weekly 1 day per week in Brampton and twice a month at our London, Ontario office.
Recruitment
- Review resumes and applications to shortlist qualified candidates.
- Schedule and conduct initial phone screenings and interviews.
- Collaborate with department managers to identify staffing needs and develop job descriptions.
- Conduct reference checks and background screenings as required.
- Coordinate and communicate with candidates throughout the recruitment process.
- Post job openings on various job boards and company platforms.
Employee Onboarding
- Assist new employees in completing required training and compliance modules.
- Create and maintain employee personnel files, ensuring accuracy and compliance with legal requirements.
- Address any questions or concerns new employees may have during the onboarding process.
- Send out all post communications to new hires regarding their onboarding information
- Prepare and send offer letters and employment contracts to new hires.
- Facilitate the completion of new hire paperwork, including tax forms and direct deposit information.
- Coordinate new hire orientation sessions, including paperwork, policies, and benefits information.
Employee Relations
- Work with management on Progressive Discipline measures including warning systems, and PIP.
- Assist with Union negotiations as needed
- Responsible for answering or directing employee inquiries
- Draft employee verification and reference letters on an as needed basis
Policy Management
- Maintain policy documentation and ensure easy access for employees.
- Collaborate with management to enforce policies consistently and fairly.
- Address employee inquiries regarding company policies and procedures.
- Keep abreast of legal and regulatory changes to ensure company policies are up-to-date and compliant.
- Assist in the development, implementation, and communication of HR policies and procedures.
Payroll
- Responsible for submitting wage change forms to payroll
- Ensure proper back up and signatures are on all paperwork
- Collect and file all associated paperwork
Benefits
- Facilitate the annual benefits renewal process
- Responsible to ensure that employees are enrolled in the benefits program
- In charge of investigating and answering employee questions associated with benefits
Reporting
- Maintaining and Creating HR Annual Budget
- Complete monthly reporting for both internal and external stakeholders of the program
Human Resources Information System (HRIS)
- Maintenance and Administration of the HR Policies and LMS
- Vacation tracking
- Digital Employee File Management
- Maintain HRIS system with new hires and terminations
- Update and maintain personnel changes
Other Duties & Responsibilities
- Maintain HR forms to ensure availability for HR and employee use
- Participate in special projects and performs additional duties as required
- Create presentations when necessary / as requested
- Send out e-mail communications when necessary / as requested
- Performs a variety of clerical and administrative duties in support of Human Resources
Qualifications
- Effective problem-solving skills
- COVID Double Vaccination required
- 1-2 years' experience working in a Human Resources department is an asset
- Strong interpersonal skills and the ability to work collaboratively in a team environment.
- Familiarity with labor laws and regulations.
- Must have license and working car, car allowance to be provided for travel
- Dayforce experience is an asset
- Post-secondary school education, preference given to those with an HR focus
- Ability to handle sensitive and confidential information with discretion.
- Travel required to London, ON twice per month
- Working knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook)
- Required 3/4 Days in office alternating
- Highly organized with strong time management skills
- Excellent written and verbal communication skills.
