Posting Summary
Rutgers, The State University of New Jersey is seeking a Senior HR Staff Associate. This position reports to the Assistant Vice President of Workplace Culture. The HR Staff Associate provides administrative support as well as a full range of complex and sensitive administrative functions for the staff of the Office of Workplace Culture.
Among the key duties of the position are the following:
  • Reads, date stamps and routes incoming mail, answers the phone, greets visitors in a courteous and professional manner and properly routes all inquiries and problems for disposition.
  • Acts independently as confidential staff assistant in such matters as scheduling, research, surveying, memo writing and in interactions with clients.
  • Maintains Excel spreadsheets, databases, and web-based learning management systems within the department.
  • Works with UHR IT staff to update and maintain websites and procedures as operating systems/services are changed or enhanced.
  • Acts as liaison for the professional staff and cooperates with employees of all units of the University.
  • Creates, organizes and maintains files.
  • Provides high level administrative support to a team of professionals, including backup for the Senior Vice President of UHR’s Executive Assistant.
  • Addresses client inquiries in a courteous and professional manner.
  • Special projects, as assigned.
  • Ensures phone messages are accurate and complete and delivers messages from callers in a timely manner.
  • Accurately inputs and updates departmental databases on daily, quarterly and yearly basis as required.
  • Takes initiative by asking questions to clarify instructions and/or solve problems.
  • Performs a wide range of sensitive professional staff support functions while exhibiting tact and professionalism.
  • Drafts correspondence and assists in creating presentation materials.
  • Maintains office supplies.
  • Schedules meetings as necessary.
  • Creates and maintains a working calendar for the office.
  • Be discreet and maintain confidentiality.
  • Manages the daily operation of the office and any duties assigned.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System.
