Job Description
Coordinate all payroll and HR related tasks.
  • Prepare letters confirming employment/insurance coverage
  • Search matching candidate profiles
  • Payroll Knowledge (ADP WorkForce Now an asset)
  • Monitor ACA reporting
  • Keep phone extension list up to date
  • Work on special projects
  • Schedule interviews for the Managers
  • Prepare birthday lists
  • Prepare vacation calendars
  • Speak, write and read fluent French and English.
  • Prepare payroll journal entries for 5 companies
  • Verify First Aid Kit
  • VRSP Data entry (in Excel)
  • Ensure all new employee hire documentation is received
  • Enter new employees into payroll system (Canada/USA)
  • Calculate vacation adjustments on bi-weekly basis
  • Pre-screen CV's
  • Assist in the preparation of various social activities
  • Prepare ROE’s
  • Enroll employees for health insurance (Canada)
  • Maintain USA employee absenteeism file
  • Conduct phone interview
  • Onboard new employees
  • Evaluate ergonomics
  • Ensure all performance evaluations are submitted during annual review period
  • Knowledge of Quebec Labor Standards
  • Process Head office and Plattsburgh warehouse payroll
  • Monitor employees coming due for health insurance (Canada)
  • Conduct exit interviews
  • Attend Health and Safety meetings and prepare minutes of meetings
  • Process 3 commission payrolls
  • Prepare new rep letters
  • Prepare internal job postings for open positions
  • Prepare New Hire Documents
  • Maintain employee guarantee file
  • Maintain vacation owing file
  • Respond to employee questions
  • Maintain sexual harassment file
  • Filing
  • Maintain log of candidates contacted
  • Maintain work from home file (hybrid contracts and photo of workstations)
  • Maintain Hartford audit file
  • Other related tasks
  • Three years of experience in HR
  • Knowledge of USA labor standards (an asset)
  • Strong attention to detail
  • Minimum CEGEP completed (certificate in HR)
  • Place job ads on-line
  • Maintain FTE headcount file
  • Maintain exit interview database
