The Human Resources Administrator works under the direction of the Human Resources Manager to provide HR support for all store level staff and store management teams. The Human Resources Administrator will be the point person on in HR team for ensuring accuracy of all employee data and information across all systems. They will support all employee change requests, promotion processing, and departure handling for all store level staff across the chain.
Responsibilities:
Administration
- Provide timely responses (call/email) and deliver verbal and written communications which are professional and accurate
- Employee Change Administration – promotions, demotions, departure handling, contract amendments, Dayforce amendments, general data entry in HRIS
- Prepare and maintain payroll-related records and reports
- Record management for the department, including set-up and maintenance of employment files and purging cycles are managed and well organized
- Prepare employee letters, such as employment verification letters
- Create ad hoc reports for data analysis
Benefits
- Update HRIS system with required benefit information to support payroll deductions, and tracking of enrolment in the plan
- Ensure all eligible employees are enrolled for benefits coverage
- Process changes to employees’ benefits coverage in the provider’s system and on payroll
Audits
- Review schedules to certify policies are followed
- Review PTO balances for accuracy – lieu, sick, vacation
- Complete discount enrollment/changes
- Ensure timesheets, and employee records properly reflect PTO days used
Programs
- Support roll-out of Annual Evaluation Program
- Support roll-out of Pulse and Annual Engagement Surveys
- Assess need for updates to processes, forms, communication
General
- Perform other duties as required, including department project participation
- Provide general support and back-up for the HR team, and perform other duties as required
- Seek opportunities to improve/streamline processes; leverage best practices and generate new ideas that move the HR function forward
Requirements:
- Minimum 3+ years of experience in human resources
- Strong multi-tasking and organizational ability to successfully meet deadlines in a fast-paced environment
- Post Secondary education in Human Resources Management Required
- Ability to express ideas clearly both in written and oral communications
- CHRP designation or actively working towards the designation an asset
- Strong knowledge of the Ontario Employment Standards Act and Human Rights Code
- Consistently project professional attitude and deliver superior client service to internal colleagues; highly proactive, with a strong sense of urgency
- Ability to display initiative, plan and organize daily activities
- Proficiency in Microsoft Office
- Proven ability to maintain confidentiality and conduct work within appropriate privacy standards.
