Job Description
[French below] Adecco is currently recruiting a Bilingual Administrative Assistant. This is a 3-month hybrid opportunity contract, with the possibility of becoming a permanent full-time role, for our private client located in Montreal, QC. The Bilingual Administrative Assistant will have the following responsibilities: Ensures the preparation and follow-up of the meetings of the 3 Boards of Directors working under the banner of the company, the committees of the Board of Directors, and the committees of the permanent staff, Assists in the preparation of agendas and documentation for Board meetings and takes minutes, Writes letters, minutes, notices and invitations; prepares reports and presentation materials, Translates short documents into English or assigns translation to the Communications Department, Sets deadlines and coordinates input from internal stakeholders for the production of accountability reports, major reports and presentations, Reviews, finalizes and ensures the quality of all Branch documents, Implements a priority management system that optimizes the follow-up of requests and files requiring the intervention of the Executive Director, Manages the Executive Director's calendar; convenes or accepts her meetings, taking into account all her obligations, Develops and distributes to the appropriate individuals the annual meeting schedules for the Board of Directors, related committees, tenure committees and annual general meetings, Develops and maintains the mailing schedule for key reports and other important deliverables coordinates the participation of senior management in their preparation and ensures that production deadlines are met, Handles or directs verbal, telephone, electronic and other communications, and requests to the appropriate respondent; oversees the completion of follow-ups requiring the attention of the Executive Director, Writes and sends communications to employees, governors, and administrators, Ensures the creation and updating of contact sheets for governors and corporate partners and the updating of the Executive Director's email lists (committees, boards, governors, etc.), Improves and maintains the Branch filing system (electronic and paper) and ensures the proper filing of files and documents, Establishes and manages employee and administrator access to electronic files managed by the Branch. The Bilingual Administrative Assistant must meet the following mandatory requirements: College degree in a relevant field with 3 years experience in a similar role, 2 of which must be in senior management support, Strong technical skills in MS365 (with proficiency in Word and Excel) and CRM operations, Proven experience in minute writing, Superior oral and written communication skills in French, similar skills in English are an asset, you are interested in applying to our Bilingual Administrative Assistant position, please submit your resume as soon as possible by clicking on the 'Apply with Adecco' button. L'Adjoint(e) Administratif(ve) De Direction Bilingue aura les responsabilités suivantes : Veille à la préparation et au suivi des réunions des 3 conseils d'administration œuvrant sous la bannière de l'entreprise, des comités du CA, et des comités de la permanence, Assiste à la préparation des ordres du jour et de la documentation en prévision des réunions des CA et en rédige les procès-verbaux, Rédige des lettres, des comptes rendus, des convocations et des invitations ; prépare des rapports et des documents de présentation, Traduit des documents courts vers l'anglais ou en confie la traduction au Service des communications, Établit les échéances et coordonne la contribution d'intervenant(e)s internes à la production de rapports de reddition de compte, de grands rapports et de présentations, Révise, finalise et assure la qualité de tout document issu de la Direction générale, Met en place un système de gestion des priorités qui optimise le suivi des demandes et dossiers exigeant l'intervention de la directrice générale, Gère le calendrier de la directrice générale ; convoque ou accepte ses réunions en tenant compte de l'ensemble des obligations de celle-ci, Élabore et distribue aux personnes concernées les calendriers annuels de réunions des CA, des comités rattachés, des comités de la permanence et des assemblées générales annuelles, Élabore et tient à jour le calendrier d'envoi des rapports clés et autres livrables importants ; coordonne la participation des membres de la direction supérieure de l'entreprise à la préparation de ceux-ci et s'assure du respect des délais de production, Traite ou achemine aux bons répondant(e)s des communications et des demandes verbales, téléphoniques, électroniques et autres ; encadre la réalisation des suivis exigeant l'attention de la directrice générale, Rédige et envoie des communications aux employé(e)s, aux gouverneurs et aux administrateur(-trice)s, Assure la création et la mise à jour des fiches contacts des gouverneurs et partenaires de l'entreprise et la mise à jour des listes de diffusion par courriel de la direction générale (comités, CA, gouverneurs, etc.), Améliore et maintient le système de classement (électronique et en papier) de la Direction générale, et veille au bon classement des dossiers et documents, Établit et gère les accès des employé(e)s et des administrateur(-trice)s aux dossiers électroniques gérés par la Direction générale. L'Adjoint(e) Administratif(ve) De Direction Bilingue doit répondre aux exigences obligatoires suivantes : Diplôme universitaire dans un domaine pertinent avec 3 ans d'expérience dans un rôle similaire, dont 2 dans le soutien à la haute direction, Solides compétences techniques dans MS365 (avec maîtrise de Word et Excel) et dans les opérations de gestion de la relation client (CRM), Expérience avérée dans la rédaction de procès-verbaux, Excellentes aptitudes à la communication orale et écrite en français, des aptitudes similaires en anglais étant un atout.
