We are currently looking for (3) Administrative Assistants (Documentation) for one of our clients in the insurance industry.
- Hourly salary of $21.
- Full-time, 37.50 hours per week (occasional overtime may be required).
- Opportunity to work in a dynamic and professional environment.
- Work schedule from 8:30 a.m. to 4:30 p.m.
- Focus on work-life balance to ensure your wellbeing and productivity. This position offers a hybrid work arrangement, with 3 days working remotely and 2 days in the office.
- 06-month contract with strong potential for permanent employment.
- Using Microsoft Word to implement changes and updates to documents.
- Assessing and negotiating target deliverable dates to meet client expectations, demonstrating sensitivity to customers business needs.
- Maintaining the departmental write-up database/repository.
- Ensuring documents include correct spelling/grammar.
- Ensuring safeguarding of those documents deemed “sensitive” in nature.
- Processing New Business documents and/or revisions of documents per established service standards (to ensure accuracy and adherence to timelines).
- Processing documents using prescribed/department tools and workspaces.
- Assisting in document configuration management.
- Preparing/packaging/publishing completed documents (for delivery to clients).
- Understanding and analyzing customer needs to recommend system setup that supports those needs.
- Partnering with service representatives, implementation specialists, clients, and advisors to clarify a GB plan’s design so final output accurately reflects customer expectations.
- Supporting departmental initiatives, as required.
- Interpreting a customer’s GB plan design details and seeking clarification, as needed, to ensure the "right" outcome/customer satisfaction.
- Participating in projects, as requested and where possible, to ensure service standards are met.
- Investigating and resolving escalated issues or complaints.
- Managing work priorities in a multifunctional environment.
- Responding to inquiries from internal business partners.
- Experience in formatting documents.
- Bilingual in English and French (spoken and written).
- Possess high attention to detail.
- Ability to multi-task to achieve delivery dates.
- Exceptional communication skills, including customer-oriented communication.
- Experience in a service admin role.
- Ability to work under pressure, meet customer needs and adapt to a changing environment.
- Negotiation skills with the ability to work towards acceptable outcomes; offer solutions.
- 2-3 years experience of document administration.
- Experience with SharePoint and Outlook.
- Analytical, organizational, and self-starting abilities.
- Degree or diploma in Communications, Technical Writing, Literature, or a combination of acceptable work experience.
- Experience in editing and revising documents.
