Resource Planning Group Inc. (RPG) is a well-established boutique dynamic pre-design consulting firm operating with staff located across Canada, from Vancouver Island, BC to Moncton, NB.RPG is focused on planning healthcare, post-secondary and other community facilities.We assist clients with articulating their service plans, developing space requirements, and securing funding to move forward with new hospitals, clinics, libraries, university, and college facilities.
We are looking for a highly motivated Administrative Assistant to join our growing team.The position is a full-time, remote/virtual position.
Part administrative assistant, part editor, part business development liaison, and part project manager for internal initiatives, this individual will provide support to RPG’s Principals and Consultants. RPG welcomes an individual who brings initiative and a quality improvement approach to their role, helping us to continue to advance our systems and workflows.
The Administrative Assistant will provide administrative support across a variety of projects within the organization and work with the Principals on proposal and project document coordination, development, formatting and production. RPG develops significant reports for our clients and their funding agencies.The Administrative Assistant will play a key role in editing the content and standardizing the formatting and language throughout.Compiling the full submissions requires coordination with our consulting partners, clients, RPG staff and other subconsultants.
KEY ACTIVITIES
- Periodically updating the RPG website and social media sites (LinkedIn, Twitter)
- Creatively working with the RPG Principals and Consultants on the development of marketing materials and proposals
- Actively managing RPG’s contacts list and an opportunities database
- Supporting RPG’s consultants by assisting with document development and editing, scheduling meetings, creating organizational systems, and electronically filing and maintaining virtual research and project libraries
- Planning and executing events for RPG’s clients and employees (including internal celebrations, client meetings, and other special events)
- Coordinating client meetings with a high level of tact and personalized service
- Corresponding internally and externally on behalf of the Senior Principals and Senior Consultants with appropriate approach and delivery
- Connecting with RPG counterparts across Canada regarding proposals, consultant timesheets, accounts receivable issues, and marketing materials
SKILLS REQUIRED
- Experience with writing submissions and editing would be valuable
- Collaborative working style
- Comfortable working independently, with minimal supervision
- Organizational skills to successfully manage a high-volume of responsibility, balancing and prioritizing short-term and long-term tasks with confidence
- Exemplary time management and attention to detail
- Research methodologies and experience would be an asset
- Excellent written and verbal communication skills
- Extremely well versed in Microsoft Office 365 Suite, including Microsoft Word, Excel, PowerPoint and Outlook on a PC operating system
- High degree of tact, diplomacy, judgement, and discretion
