Purpose


Coordinates day to day administrative duties for the Community Paramedicine (CP) Program.


Responsibilities


Providing Administrative Support for the Community Paramedicine Program


  • Edits and prepares reports, correspondence, and presentation material, etc.
  • Ensure patient confidentiality and adhere to all PHIPPA legislation
  • Regularly composes and handles routine and confidential correspondence
  • Completes required data entry into various systems such as the EMR, JBS, scheduling software, Interdev, etc.
  • Collects patient data to share with external stake holders such as the Ministry of Health and Family Health Teams by fax or other methods in line with PHIPPA standards
  • Prepares reports to various program stake holders such as Physicians, Nurse Practitioners, Home and Community Care, etc.
  • Professionally deals with County paramedic employees, the public, and their concerns
  • Provide administrative support to the Nurse Practitioner and Community Paramedicine Supervisor
  • Provide administrative support to the Supportive Outreach Services (SOS)
  • Directs telephone inquiries, complaints, and emergencies to proper staff
  • Coordinates inventory related to the program
  • Types, sorts and files confidential documents


Scheduling of Community Paramedicine Appointments


  • Responsible for answering general patient questions and re-directing advanced questions to the Supervisor
  • Responsible for the adjusting the daily schedules for Community Paramedics to see patients based on staffing, cancelations, and other unforeseen changes
  • Collect patient information relevant to booking appointments
  • Maintain a strong knowledge of Grey County EMS, The Community Paramedicine Programs and County geography to schedule appointments efficiently and in line with program standards
  • Contacts patients by phone or email to schedule, reschedule and confirm appointments
  • Responsible for the preparation of the daily patient schedules for Community Paramedics
  • Professionally dealing with patients regarding sensitive, confidential medical information


Providing Reception Services for the Program
  • Greets Patients and responds to inquiries
  • Maintains communications with staff at various bases via telephone, email and inter office mail
  • Responsible for maintaining a complaint database and ensuring that complaints have been resolved
  • Liaise with staff of the Physicians Offices, the Family Health Team, the Community Base Hospital, HCC, MOHLTC, and other County departments, Paramedics and suppliers
  • Directs public complaints and concerns to appropriate staff
  • Answers telephone calls for general information about the Community Paramedicine Program; refers calls to appropriate staff; takes messages as required


Other Duties


  • Maintains skills at a high level by taking advantage of training and development opportunities through courses, seminars and selected reading
  • Responsible, as an employee, for occupational health and safety practices
  • Performs other associated duties and tasks as may be occasionally assigned
  • Must be able to obtain a MOHLTC identification card as per the legislation (Ambulance Act)


Working Conditions


Works primarily in administrative office located at the Grey County Administration Building. Works in an accessible area with constant distractions from telephones, visitors and staff who require assistance and information. Work is subject to irregular deadlines and constant disruptions. Will be required to work occasional overtime to meet demands of job.

Contact with Councilors, Director, Managers, Supervisors and staff.


External Working Relationships


Contact with patients, suppliers, repair personnel, contractors, couriers and the general public.


Knowledge and Skill


  • Ability to maintain confidentiality of information, deal with constant interruptions, and to work independently of close supervision
  • Knowledge of PHIPPA Legislation
  • Excellent technical keyboarding skills
  • Knowledge of Medical Terminology
  • One to two years experience in office/business administration.
  • Experience and knowledge of computers, clerical and scheduling procedures are necessary
  • Knowledge of business and office equipment is essential
  • Community college diploma with specialty in Office Administration. A focus in Health Services preferred.
  • Must possess strong interpersonal skills
  • Ability to work effectively with elected and appointed officials, other staff, patients and the general public
  • Knowledge of Electronic Medical Records (Radius) and JBS


Impact of Error


Scheduling errors result in impacts to patient care. Clerical errors result in delays, disruptions and duplication of effort. Errors, miscommunication and breach of confidentially could result in unfavorable relations between staff, Council, physicians and other health care providers and patients.
