Summary:
DBS is an installation/service company located in Mississauga, that deals with HVAC/R, Electrical, Mechanical, Building Automation, Energy Management, and services the GTA and all surrounding areas.
We are seeking a highly motivated Administrative Assistant to support the Service Department. This position is an opportunity to work in a dynamic and fast pace area of the business.
The Administrative Assistant will assume responsibility for the administrative aspects of the team and this position will require a highly motivated individual who is a self-starter that can demonstrate leadership through creative ideas and solutions. The individual should be highly organized and be able to juggle multiple tasks with an ability to prioritize requests from the team.
Responsibilities
- Assist with data entry and other administrative tasks as needed.
- Maintain and provide reports weekly or when advised.
- Ability to prioritize and manage multiple tasks and deadlines.
- Includes organizing, scanning, filing, and other administrative duties when necessary.
- Assist and support Managers as needed.
- Answer phones, take and check messages as well as emails. Follow-up phone calls to vendors and clients.
- Typing quotes and PM contracts, and other documents as required.
- Maintain a filing system for records, correspondence, and other documents.
- Maintain and update our internal computerized information systems.
Qualifications
- Strong interpersonal skills with the ability to interact with clients in a confident, courteous and professional manner.
- Ability to learn quickly.
- Strong demonstrated PC skills (MS Office - Excel, Outlook, Word, Power Point).
- Experience as an Administrative Assistant; experience in the HVAC industry preferred.
- Strong written and oral communication skills; ability to write various letters, memos, emails etc for internal and external clients, proofread and edit documents and have the ability to clearly articulate and clarify requests.
- Highly developed sense of professionalism and ethics.
- Ability to work effectively under pressure and shift priorities to respond to changing circumstances.
- Confidentiality and discreetness.
- Solid organizational skills and ability to handle multiple inquires/requests based on their respective priorities.
- Initiative and ability to work with minimum supervision including any problems that may arise.

Salary: Compensation based on Experience
