The Opportunity
Working in a highly entrepreneurial and dynamic environment, the Administrative Assistant will report to the Vice President Operations but will work closely with the entire team in fulfillment of corporate objectives. While this position will provide front reception and general administrative support, the uniqueness of this position will provide this individual with the opportunity to play a key role in all aspects of commercial development, including acquisition, leasing, asset and property management.
Responsibilities
General Support
- Assist with organization of group events and business meals as needed
- Office organization - maintaining clean and organized general office space and ensuring organization of front desk/Camgill Development Corporation reception area
- General administrative duties as required
- Kitchen maintenance - maintaining kitchen supply stock (coffee, cream, cleaning supplies…), keep kitchen area tidy and organized
- Reception duties including answering main phone and greeting visitors to office
- Administration of Bright HR training for staff
- Assist with sourcing and ordering of promotional materials
- Travel Accommodation arrangement for office staff - Flight booking, hotel, rental vehicles
- Preparation and distribution of tenant related notices
- Filing, scanning and saving of documentation
- Regular office supply maintenance - replenishment of all general office supplies, specific requests, printer cartridges (purchase and recycling), Ricoh toners (purchase and recycling), cheque stock and other banking supplies (stamps/deposit books as necessary)
- Distribution of mail/coordination of couriers
LEASING AND PROPERTY MANAGEMENT SUPPORT
- Maintenance system updates/reports
- Scan and log all incoming cheques
- FOB/door programming
- Coordination of Camgill work clothing when required
- Assist with updating and distribute monthly leasing brochure
- Certificate of insurance tracking
ACCOUNTING SUPPORT
- Utility administrator
- Expense report compilation
- Preparation of checks for mailing/courier
- Other duties as required
Qualifications
- Able to provide a high level of customer service
- Strong analytical skills with a high attention to detail and the ability to meet strict deadlines without compromising accuracy
- Knowledge of Yardi and/or Angus Anywhere software is an asset
- Experience in property management would be an asset
- 1 to 2 years prior reception or administration experience
- Proficient in using Microsoft Office (Excel and Word)
- University or College degree would be an asset
- Experience with Photoshop, Indesign, Mailchimp or similar programs would be an asset
- Ability to work in a fast paced environment and deal with frequently changing priorities
