Job Description
Baker Tilly Rockies LLP's Administrative Professionals are respected for their skills and their strong commitment to supporting our accounting staff & clients. As an Administrative Assistant in our Canmore office, your welcoming, competent, and professional attitude will be the first impression for our valued clients. Utilizing your eye for organization, resourcefulness, troubleshooting, and software skills, you will accurately and efficiently provide a range of key administrative tasks. Tasks are performed over a variety of different software while supporting a team of accountants, which provides you the opportunity to demonstrate your skills in navigation and manipulation of digital documentation. We are currently seeking a candidate who is interested in working with, and learning from, our established full-time Administrative Assistant.

This full-time position is performed from our Canmore office, and offers flexiblity for time off balanced with our established Administrative Professional. The exact start date is negotiable for the right candidate but will be after September 1, 2023.


Your primary responsibilities will include:


  • Greeting clients and directing their in-person or digital requests appropriately;
  • Perform all aspects of printing, filing, assembling, dissemination and filing of client tax returns and related documentation;
  • Navigating the workflow through our practice management software, Practice Engine.
  • Down/upload documents to/from our Sharefile portal system, then scan and file same;
  • Manage postal mail, including sending and tracking time sensitive and date stamped packages;
  • Liaise with clients when they pick-up their tax returns/documentation to ensure they are executed accurately, and client questions are directed appropriately;
  • Answering phones and directing calls to the wider team;
  • Managing courier requests;
  • Track the status of client's income tax files, through our CCH Dashboard system;
  • Being a key communicator for the larger team, primarily using MS Teams software for communications;
  • Managing and creating appointments;
  • Scanning and distribution of client documentation and postal mail to appropriate staff and Partners;
A successful candidate will have:


  • Ability to treat all information confidentially both on the job and permanently.
  • Strong professional maturity demonstrating a mastery to manage multiple client requests, and various tasks concurrently within a busy office;
  • Excellent interpersonal and communication skills;
  • Previous administration experience in a professional environment is preferred;
  • Strong capability to learn to navigate new software, and working knowledge of MS Office365. Professional use of MS Teams is an asset, training and ongoing support will be provided as needed;
  • Capability to keep documentation confidential and strong attention to safeguard our computer systems while using them;
