Job Description
SAIT’s School of Manufacturing, Automation & Transportation provides the skills-based training and development to prepare students for a career in Alberta's rapidly growing oil and gas, transportation, manufacturing and automation sectors. We provide applied learning in action through our trades and technology programs.


The Opportunity


This position is a temporary salaried, reporting to the Manager, Support Services. You are responsible for providing administrative support to the Academic Chair at the Art Smith Aero Centre. As a Program Administrative Assistant, you will have the opportunity to collaborate with other administrative team members and will be working at a satellite campus. The Role


  • Contribute to the effective operation of the schools and sites by performing cover-off reception and administrative duties when needed
  • Event planning, including booking venues and ordering catering, coordination with other SAIT departments and support personnel
  • Enter and prepare load verification reports for instructors
  • Respond to information requests from students, staff, and the general public
  • Room scheduling for meetings/orientations/info sessions
  • Assist with booking travel and reconciling visa statements
  • Scheduling and faculty load entry via DCU
  • Faculty Support – Expense claims processing, substitution forms, ordering of products/materials needed
  • Other duties as assigned
  • Take minutes at various meetings and program advisory committee meetings
  • Assist the Academic Chair with administrative tasks, including reporting, data analysis, research gathering, correspondence
  • Compliance documentation for student records to ensure we align with governmental mandates
  • Track instructor hours and maintain tracking database, review and validate information
  • Correspond and work with students who have inquiries/issues to determine the next steps via fresh desk, email, phone
Qualifications & Experience


  • Intermediate to advanced level proficiency in Word, Excel, PowerPoint, Visio and Outlook. Microsoft Office Specialist (MOS) Certification would be an asset
  • Working knowledge of BANNER, SOLAR, DCU, ATOMS, and learning management systems is an asset
  • Excellent multi-tasking and organizational skills; flexible and able to manage changes on short notice
  • Project Management experience is a strong asset
  • Committed to quality and meeting deadlines, with a keen eye for accuracy and developing process improvements
  • Highly prefer work experience in a post-secondary environment
  • Highly customer service focused, willing to assist others and achieve team goals
  • Minimum high school diploma or office administration diploma/certificate, supplemented with at least 3 years office experience is required
  • Strong ability to work independently and make sound decisions or recommendations with limited direction
  • Exceptional verbal and written communication skills, and ability to build positive work relationships
