Job Description
This position is a part of the Non-Academic Staff Association (NASA).

This role is hybrid with a mix of remote and in-person with on-site work taking place at North Campus, Edmonton.

Position Summary


Reporting to the Program Manager for the International Network of Special Immunization Services (INSIS), the Research Administrative Assistant is an integral part of the team to provide support for financial administration and routine administrative support for INSIS. The Research Administrative Assistant follows standard practice and established procedures to perform duties.


Duties


  • Drafts and/or generates routine communications. Gathers information from office records to draft emails, memos, and other documents for supervisor review
  • Assist with tracking INSIS revenues and expenditures, subsite contracts and payments, reconciling of accounts, and maintaining hard copy and electronic files
  • Provide consistent and accurate reporting to the INSIS Program Manager on an ongoing basis
  • Assist in the preparation of quarterly, semiannual and ad-hoc reports to funders
  • Coordinate INSIS meetings including scheduling, meeting invitations, liaising with guest presenters and meeting chairs
  • Maintain a documented system of finance filing and accounting records for INSIS activities


Qualifications


  • Computer proficiency using MS Office Applications (Excel, Word, Outlook, Access, PowerPoint) and Google applications; good computing and database skills
  • Bachelor’s degree education in business/accounting or Diploma in Business Administration/Accounting and 2 years of experience
  • Excellent communication (oral and written), interpersonal, organizational, problem solving and time management skills; meticulous attention to detail; ability to work in a team environment with multiple stakeholders
  • Minimum two years related work experience; 1+ years of relevant experience within a research setting in a university, hospital or comparable environment considered an asset


Preferred Qualifications


  • Experience with research finances considered an asset
  • Understanding of University of Alberta policies and procedures (UAPPOL) preferred
  • Skills with U of A applications are preferred (PeopleSoft, Google, SupplyNet, Bear Tracks, Zoom, Microsoft Office etc.)
