Job Title: Administrative Support – Internship
Job Type: Part-time
Part-time hours: 20 Hours per week
Job Overview: As an intern student, you will be an extension of the broker support team, your primary role is
to provide essential administrative and operational assistance to insurance brokers and the overall
brokerage team. You will play a vital role in ensuring the smooth functioning of daily operations,
maintaining client records, handling paperwork, and supporting various administrative tasks related to
insurance policies and client services.
Responsibilities:
1. Data Entry and Record Keeping: Maintain and update client information and policy details in
the brokerage's database or Customer Relationship Management (CRM) system. Accurate
and organized data entry is crucial to ensure smooth operations and compliance.
2. Document Management: Organize and maintain insurance-related documents, contracts, and
correspondence. This may involve filing, scanning, and archiving paperwork to ensure easy
retrieval and adherence to record-keeping regulations.
3. Billing and Payments: Assist in processing premium payments, invoicing clients, and
reconciling accounts to ensure accurate and timely financial transactions.
4. Compliance and Regulation: Ensure that all administrative tasks and documentation adhere
to industry regulations and compliance standards set by relevant authorities.
5. Schedule Management: Help schedule appointments, meetings, and follow-ups for insurance
brokers with clients, insurers, or other stakeholders.
6. Special Projects: Support insurance brokers and management with various special projects,
marketing initiatives, or administrative tasks as needed.
Qualifications:
• Currently enrolled in a post-secondary program
• Previous experience in customer service
• Proficient computer skills, including knowledge of standard office software (e.g., MS Office
suite) and data entry capabilities.
• Strong organizational skills with attention to detail and accuracy.
• Excellent communication and interpersonal skills to interact with clients, team members, and
insurance carriers.
• Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
• A proactive and adaptable attitude to handle changing priorities and requirements.
