Duration: 6 month
Pay: 15+
Location: Airdrie, Alberta- Hybrid
Your New Company
A leading Oil and Gas company is looking to hire an Administrative Assistant (Intermediate) for a 6 month contract in Airdrie, Alberta.
Your New Role
Provide direct administrative support to the Manager, FWP and Wood Buffalo area team (including creating and managing Teams and SharePoint sites, assisting with record management, and filing systems, completing expenses and timesheets for the manager and the team, managing the team’s training records and the office supply). Assist in the preparation, coordination, reporting and analysis of team budgets and forecasts using programs including Excel, Power BI and SAP
Provide support to team members with company programs and processes (i.e. SAP, Sailpoint, ServiceNow, LMS training). Plan and coordinate meetings, team schedules/calendars, conference calls and management of travel arrangements. HR Designate – onboarding of core employees, contractors, interns/summer students, change of status completions, maintain time entry. Create requisitions for services and materials for team members as required and general orders for such as safety supplies, office supplies, etc. Perform reception and shipping/receiving duties as well as interacting with external vendors and service providers. Maintain tracking tools for various states such as safety, financial, time, work management, etc. Provide backup and vacation coverage for other Associates in the department as well as support some specific department initiatives and roles
What you need to succeed
High school or post-secondary certification from a recognized institution. Minimum of 2 years of related experience. Previous budgeting experience or understanding would be considered an asset. Proficiency with Microsoft Office suite (particularly Outlook, Word, PowerPoint, and Excel) and other computer applications such as SAP, SharePoint, MS Teams and Power BI. Strong time management and organizational skills to support multiple resources in various areas. Solid interpersonal and communication skills (written and verbal) must be able to effectively and efficiently work and collaborate at various levels of the organization. Ability to display consistent professionalism, tact and work with a high degree of discretion
