Position Overview:
As an Administrative Assistant to our Estimating department at Ackard Contractors Ltd, you will play a vital role in the success of our projects and supporting our estimating department. You will work closely with the Estimating Team to ensure, effective purchase order management, meticulous contract administration, and efficient scheduling of trade appointments. Your attention to detail, organization skills, and ability to thrive in a fast-paced environment will contribute to the seamless execution of our renovation projects.
Key Responsibilities:
- Maintain comprehensive documentation of project contracts, change orders, and related correspondence.
- Utilize appropriate software and tools to accurately input and organize data for efficient analysis and reporting.
- Perform reconciliations as directed
- Prepare detailed progress reports for meetings & document meeting minutes.
- Contribute to the ongoing improvement of estimating processes and procedures.
- Collaborate with Senior Estimators to gather essential project information, including blueprints, specifications, and other relevant documentation.
- Assist in the preparation and management of purchase orders, ensuring timely ordering of materials and supplies.
- Coordinate with subcontractors and suppliers to schedule trade appointments and deliveries, optimizing project timelines.
- Monitor and track the daily progress of the Estimating Department, ensuring timely completion of assigned tasks.
- Support in the preparation of packages for select departments, ensuring all necessary documentation is included.
- Produce and manage the task schedule, ensuring adherence to timelines and milestones.
- Compile tender packages and facilitate their distribution to trade partners and suppliers, ensuring all necessary documentation is included.
- Provide comprehensive progress reports for weekly meetings.
Qualifications:
- Proficiency in using estimating software and tools.
- Understanding of construction materials, methods, and trade practices.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Ability to work collaboratively in a team environment and maintain positive relationships with colleagues, subcontractors, and suppliers.
- Strong communication skills, both written and verbal.
- Familiarity with purchase order management, contract administration, and scheduling is an asset.
- Previous experience in the construction industry, with exposure to estimating processes and procedures preferred.
