Fixed-term for 8-14 weeks


$15.50 per hour, 35 hours per week

Position Summary


We are looking to employ an HR Assistant to join our HR Department to aid in administrative and HR-related tasks. This is an entry-level position and is perfect for someone looking to gain experience for a career in HR. Reporting to the HR Manager, the assistant will mainly be supporting full-cycle recruitment over the summer months, as well as basic HR administration. Recruitment will primarily focus on seasonal hires and volunteers as CWF prepares for a summer of program activities and field work across Canada. The ideal candidate should have an understanding of the HR role, and employment legislation in Ontario. The HR Assistant will have an opportunity to interact with various levels of management and staff, as well as experience with various employment types: permanent, fixed-term, co-op students, volunteers, etc. There will be other opportunities to assist in general office administration from time to time.


Responsibilities


Recruitment


  • Assist in screening resumes, volunteer applications, tracking applicant progress, and conducting phone interviews.
  • Schedule interviews on behalf of the HR department; opportunity to observe and conduct formal interviews for staff, informal interviews for volunteers.
  • Attend orientation and training sessions with new hires and/or current staff when applicable. Opportunity to lead orientation sessions with new staff if comfortable.
  • Completing reference checks for candidates and volunteers.
  • Post jobs and volunteer opportunities through our Applicant Tracking System (ATS) and other methods.
  • Coordinate the collection of new hire onboarding paperwork, including tax forms, agreements, and training documents/certifications.
  • Coordinating background checks for candidates and volunteers.


Administration


  • Create new employee introductions.
  • Scanning and shredding of various documents.
  • Other tasks as required.
  • Update necessary documents when needed, such as Employee Handbooks and forms.
  • File HR and Financial documents accordingly.
  • Prepare and administer employment and volunteer paperwork.
  • Create and update employee and volunteer files.
  • Answer HR inquiries where appropriate.
  • Data entry for employee attendance.
  • Assist in HR initiatives when required.


Eligibility:


This position is a part of Canada Summer Jobs, a program of the Government of Canada. To be eligible for this position, the candidate must:


  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**; and,
  • Be between 15 and 30 years of age at the start of the employment;
  • International students are not eligible participants.


Qualifications:


  • Very strong attention to detail and accuracy.
  • Comfortability using Microsoft software, primarily Outlook, Word, and Teams. Occasionally Excel and PowerPoint
  • English, both written and oral. Second languages would be an asset.
  • Comfortable speaking in front of others both virtually and in-person.
  • 1+ year experience in an office environment, either remote or in-person.
  • Ability to multi-task between many competing priorities.
  • Office administration such as scheduling, filing, etc.
  • Effective and informative communicator in English.
  • Must have an understanding of the HR role and functions.


Assets:


  • Knowledge of Ontario's employment legislation.
  • Experience in sourcing and reporting basic statistics.
  • Basic experience using and pulling information from databases.
  • Previous experience in an HR role or HR department is an asset but not required.

Work Conditions


  • Working in an office environment which may be noisy at times.
  • Full-time at 35 hours per week, Monday to Friday for a term no shorter than 8 weeks, no longer than 14 weeks. Pending funding decisions.
  • Anticipated start date: Early May
  • Wage: $15.00 per hour
  • Location: CWF's Head Office in Ottawa, ON. Work-from-home flexibility is granted two consecutive days per week. Accommodations available upon request.
